JOB SUMMARY
The Project Coordinator is responsible for supporting the successful planning, execution, monitoring, and closure of projects. The role acts as a key link between the project team, clients, consultants, and contractors — ensuring that all project activities are delivered on time, within budget, and to the required quality standards.
KEY RESPONSIBILITIES
1. Project Planning & Scheduling
- Assist in developing and maintaining detailed project schedules and work programmes.
- Monitor project milestones and deadlines and flag deviations to the Project Manager.
- Coordinate with sub-contractors and suppliers to ensure timely mobilisation and delivery.
- Prepare and update project trackers, Gantt charts, and progress dashboards.
2. Site Coordination & Supervision
- Conduct regular site visits to monitor progress, quality, and compliance.
- Coordinate daily site activities and resolve on-site issues in a timely manner.
- Ensure all works are carried out in accordance with approved drawings, specifications, and contract documents.
- Liaise with the site team on material requirements, manpower allocation, and equipment deployment.
3. Documentation & Reporting
- Prepare and maintain daily, weekly, and monthly progress reports.
- Manage and track submittals, RFIs, shop drawings, material approvals, and NCRs.
- Maintain proper filing and document control of all project-related correspondence and records.
- Assist in preparation of method statements, inspection and test plans (ITPs), and risk registers.
- Prepare minutes of meetings (MOM) and ensure timely circulation and follow-up on action items.
4. Client & Stakeholder Coordination
- Serve as a point of contact for client queries, instructions, and correspondence.
- Coordinate with consultants and client representatives for inspections, approvals, and sign-offs.
- Follow up on pending approvals — shop drawings, material submittals, CoPs, and payment certificates.
- Facilitate smooth communication between all project stakeholders.
5. Cost & Commercial Support
- Support the preparation of BOQs, cost estimates, and variation orders.
- Track project expenses against the approved budget and highlight cost overruns.
- Assist in preparation and submission of interim payment certificates and final accounts.
- Coordinate with the procurement team for material sourcing, rate approvals, and purchase orders.
6. Quality, Health & Safety
- Ensure all works comply with project quality plans and applicable standards.
- Support HSE team in conducting toolbox talks, safety inspections, and incident reporting.
- Monitor and close out snag lists, NCRs, and audit findings within agreed timelines.
SKILLS & COMPETENCIES
- Strong organisational and multitasking skills with attention to detail.
- Excellent written and verbal communication skills in English.
- Proficiency in MS Office (Excel, Word, PowerPoint) and MS Project / Primavera.
- Familiarity with AutoCAD and document management systems is an advantage.
- Ability to work under pressure and manage multiple priorities simultaneously.
- Good understanding of construction / landscape project workflows and contract management.
- Team player with a proactive and solution-oriented approach.
Pay: ₹35,000.00 - ₹75,000.00 per month
