We are looking for a detail-oriented and proactive Administrative Executive to support client onboarding, document management, data accuracy, stakeholder coordination, and compliance workflows.
This role ensures smooth internal operations, secure handling of client records, and timely communication with stakeholders.
Key Responsibilities
1. Client Account Opening & Onboarding
Process client account openings accurately within defined timelines
Collect, verify, and ensure KYC/KYC documents are complete and compliant
Coordinate with clients and internal teams to resolve discrepancies
Maintain strict adherence to regulatory and internal compliance guidelines
2. Document Management & Confidentiality
Organize and securely store all client/prospect documents in Google Drive
Maintain a structured, audit-ready, and consistent folder system
Perform regular backups while ensuring 100% data confidentiality & security
3. Client/Prospect Data Management
Update and maintain client/prospect records in HubSpot CRM
Log emails, calls, meetings, and activity updates accurately
Conduct periodic audits to keep data error-free and updated
4. Client/Prospect Communication
Respond to all emails within 24 hours
Handle queries professionally and escalate complex issues when needed
Maintain transparent communication between stakeholders to avoid delays
5. Internal Coordination, Follow-Ups & Task Closures
Work closely with sales and operations to ensure seamless workflow
Track and close all pending tasks on time
Maintain records of action items and highlight operational bottlenecks
6. Policy & Regulatory Compliance
Ensure all operations align with company compliance standards
Maintain top-tier confidentiality of financial client data
Key Performance Indicators (KPIs)
Account Opening TAT: 100% completion within stipulated timelines
Email Responsiveness: 100% emails answered within 24 hours
CRM Accuracy: 100% error-free data in HubSpot
Document Management: Proper, structured, and audit-ready storage in Google Drive
Client Satisfaction: Minimal escalations, positive stakeholder feedback
Skills & Qualifications
Excellent written and verbal communication in English
Strong organizational & multitasking abilities
Experience with CRM tools (HubSpot preferred)
Proficiency in Google Workspace & Drive management
Understanding of KYC/Onboarding compliance (Financial sector a plus)
Pay: ₹25,000.00 - ₹30,000.00 per month
