Role Objective
Provide comprehensive operational, administrative, and accounting support for Genesis One, ensuring accurate bookkeeping, compliance, and optimization.
Core ResponsibilitiesBookkeeping & Accounting• Bookkeeping entries, accruals, prepare monthly financial statements (balance sheet, statement of income) and ensure timely closing of books.
- Enter transactions and perform monthly bank reconciliations.
- Update and maintain depreciation schedules for fixed assets.
- Conduct overall review of the general ledger for accuracy and completeness.
- Prepare and file forms 1099s for independent contractors annually.
- Utilize Intacct, QuickBooks Online for monthly bookkeeping and financial reporting.
- Process Accounts Payable
- Collect Accounts receivable
- Generate financial statements and support quarterly business reviews.
Payroll & Tax Compliance
- Process bi-weekly payroll in UKG, including direct deposit, employee setup, and payroll account management.
- Ensure timely tax deposits and filing of monthly, quarterly, and annual payroll tax returns.
- Manage year-end W-2 & W-3, including electronic and mailed options.
- Enter payroll journal entries based on payroll reports from UKG.
- AI & Systems Optimization
- Leverage AI tools to streamline workflows, automate repetitive tasks, and enhance data accuracy.
- Assist teams in maximizing the use of Genesis’s platforms (QuickBooks, SharePoint, Microsoft Teams).
- Identify opportunities for process improvement through AI-driven insights.
Operations & Executive Support
- Provide executive support to company leadership, including calendar coordination, meeting preparation, follow-up tracking, and administrative support.
- Support operational initiatives, special projects, and cross-functional coordination across accounting, HR, and operations.
- Prepare executive reports, dashboards, and performance metrics for leadership review.
- Assist with vendor management, contract tracking, compliance documentation, and operational reporting.
- Serve as a liaison between management, employees, vendors, and clients when required.

Required Skills & Competencies
- Systems Expertise: QuickBooks Online, Bill.com, SharePoint, Microsoft Teams.
- AI Proficiency: Familiarity with AI tools for HR, payroll, and operational automation.
- Strong organizational and analytical skills.
- Excellent communication and problem-solving abilities.
• Working knowledge of U.S. labor laws and general labor compliance requirements. Preferred Experience• Strong operations management and business process coordination skills.
- Ability to manage multiple priorities across accounting, operations, and executive support functions.
Preferred Experience
- Strong background in operations, accounting, administrative support, and executive assistance.
- Experience supporting senior leaders, business owners, or executives in a remote environment.
- Background in bookkeeping, accounting, HR administration, payroll, and recruiting.
- Experience with compliance and operational reporting.
- Ability to work with remote teams and cross-border workflows.
- Experience in facility services, janitorial services, property management, staffing, or similar service-based industries is highly preferred.
- Experience working in small to mid-sized organizations where employees manage multiple business functions.
- Salary Range: $12,000–$15,000 USD annually (based on experience and scope).
