Job Summary
The Senior Administrator is responsible for overseeing the day-to-day administrative operations of the educational institution, ensuring smooth functioning of academic and non-academic activities. The role involves managing administrative staff, coordinating with departments, maintaining records, ensuring compliance with institutional policies, and supporting students, faculty, and management in achieving organizational goals.
Key ResponsibilitiesAdministrative Management
- Supervise and coordinate daily administrative operations of the institution.
- Develop and implement administrative policies, procedures, and systems.
- Ensure efficient management of institutional resources and facilities.
- Monitor office operations and maintain a professional work environment.
Staff Coordination & Supervision
- Lead and supervise administrative and support staff.
- Allocate duties and monitor employee performance.
- Assist in recruitment, onboarding, and training of administrative personnel.
- Promote teamwork and effective communication across departments.
Student & Academic Support
- Coordinate student admissions, registrations, and record maintenance.
- Support academic departments in scheduling classes, examinations, and institutional events.
- Address student and parent inquiries in a professional manner.
- Ensure timely processing of student documentation and certificates.
Documentation & Compliance
- Maintain accurate institutional records, files, and databases.
- Ensure compliance with educational regulations, accreditation requirements, and institutional policies.
- Prepare reports, correspondence, and official documentation for management.
- Coordinate audits and inspections when required.
Financial & Operational Support
- Assist in budget preparation and expense monitoring.
- Coordinate vendor management, procurement, and facility maintenance.
- Monitor inventory of office supplies and institutional assets.
- Support fee collection processes and administrative financial activities.
Event & Facility Management
- Plan and coordinate institutional meetings, seminars, workshops, orientations, and graduation ceremonies.
- Ensure proper maintenance and utilization of classrooms, laboratories, and campus facilities.
- Coordinate logistics for academic and administrative events.
Stakeholder Communication
- Act as a liaison between management, faculty, students, parents, and external stakeholders.
- Prepare meeting agendas, minutes, and follow-up action reports.
- Maintain positive relationships with government authorities, industry partners, and service providers.
Required Qualifications
- Bachelor's Degree in Administration, Business Management, Education Management, or a related field.
- Master's Degree preferred.
- Minimum 5–8 years of administrative experience, preferably in an educational institution.
- Experience in managing teams and institutional operations.
