Executive Assistant (EA) – Roles & ResponsibilitiesPosition Summary
The Executive Assistant (EA) provides high-level administrative and operational support to senior management, ensuring smooth day-to-day business operations, effective communication, and efficient coordination across departments.
Key Roles & Responsibilities1. Calendar & Schedule Management
- Manage and maintain the executive's calendar, appointments, meetings, and travel schedules.
- Coordinate internal and external meetings, ensuring all required arrangements are in place.
- Prioritize appointments and resolve scheduling conflicts effectively.
2. Communication Management
- Act as the primary point of contact between the executive and internal/external stakeholders.
- Screen calls, emails, and correspondence, ensuring timely responses and follow-ups.
- Draft, review, and manage professional communications on behalf of the executive.
3. Meeting Coordination
- Schedule meetings and prepare agendas, presentations, and supporting documents.
- Attend meetings when required and record minutes of meetings (MOM).
- Track action items and ensure timely completion through regular follow-ups.
4. Travel & Logistics Management
- Arrange domestic and international travel, including flights, accommodations, transportation, and itineraries.
- Manage travel-related documentation and expense reports.
5. Administrative Support
- Maintain confidential records, files, and important documents.
- Prepare reports, presentations, MIS, and business correspondence.
- Organize and manage office documentation and record-keeping systems.
6. Coordination & Follow-up
- Coordinate with various departments to ensure timely completion of tasks and projects.
- Follow up on pending assignments, approvals, and business priorities.
- Facilitate smooth communication between management and employees.
7. Confidentiality & Compliance
- Handle sensitive and confidential information with the highest level of discretion.
- Ensure adherence to company policies, procedures, and professional standards.
8. Event & Guest Management
- Coordinate business events, conferences, and executive visits.
- Manage guest arrangements, hospitality, and meeting logistics.
9. Reporting & MIS
- Prepare weekly, monthly, and ad-hoc reports for management review.
- Track key business metrics and provide timely updates to the executive team.
10. Special Projects
- Support strategic initiatives and special assignments as directed by management.
- Conduct research, gather information, and prepare summaries to aid decision-making.

Reporting To
CEO / Director / Managing Director / Senior Management (as applicable).
Pay: ₹25,000.00 - ₹35,000.00 per month
