Job Summary
We are looking for a proactive and detail-oriented Executive Assistant to support the day-to-day operations of the organization. The ideal candidate will be responsible for inventory monitoring, vendor coordination, office administration, documentation management, and handling import-export documentation. The candidate should possess excellent communication and organizational skills and be capable of working efficiently in a fast-paced environment.
Key Responsibilities
- Monitor and maintain stock and inventory records to ensure optimum inventory levels.
- Coordinate with vendors for procurement, quotations, purchase orders, deliveries, and payments.
- Manage day-to-day office administration and ensure smooth office operations.
- Maintain accurate and well-organized physical and digital documentation.
- Prepare, verify, and manage import and export documentation, including invoices, packing lists, shipping documents, and related paperwork.
- Coordinate with logistics partners, freight forwarders, customs agents, and internal departments for timely shipments.
- Assist management in scheduling meetings, preparing reports, and handling administrative tasks.
- Maintain records of office assets, supplies, and vendor agreements.
- Ensure compliance with company policies and documentation procedures.
- Perform any other administrative or operational tasks assigned by management.
Required Skills
- Excellent verbal and written communication skills.
- Strong organizational and time management abilities.
- Good knowledge of Microsoft Office (Word, Excel, Outlook, and PowerPoint).
- Ability to maintain confidentiality and handle sensitive information.
- Strong attention to detail and accuracy in documentation.
- Ability to multitask and work independently.
- Basic understanding of import-export procedures and documentation will be an added advantage.
Eligibility Criteria
- Graduate in any discipline from a recognized university.
- Minimum 1 year of relevant work experience in administration, executive assistance, office management, or operations.
- Experience in inventory management, vendor coordination, and documentation is preferred.
