Job Summary
We are looking for a responsible and well-organized Transport Supervisor – Front Office Executive to coordinate daily transport and fleet operations. The candidate will be responsible for vehicle movement monitoring, driver coordination, loading and unloading follow-up, breakdown coordination, documentation and daily MIS reporting.
The ideal candidate should have good communication skills, strong follow-up ability and basic knowledge of MS Excel, vehicle tracking/GPS and transport operations.
Key Responsibilities
- Coordinate daily vehicle deployment and driver allocation.
- Monitor vehicle movement, loading and unloading status.
- Maintain vehicle In/Out, trip and movement records.
- Coordinate with drivers regarding reporting time, route and trip status.
- Follow up with drivers for delayed or non-reporting vehicles.
- Monitor running, idle, breakdown and maintenance vehicles.
- Coordinate with workshop teams during vehicle breakdowns.
- Record breakdown details and follow up until vehicle recovery.
- Coordinate with loading plants, distributors and customers.
- Monitor vehicle detention and delivery delays.
- Maintain driver attendance, leave and availability records.
- Track vehicle status through GPS/vehicle tracking systems.
- Maintain transport registers and operational documents.
- Prepare daily vehicle movement and transport MIS reports.
- Update management regarding major delays, breakdowns, accidents and customer complaints.
- Handle transport-related calls and coordinate with concerned departments.
- Ensure timely escalation of operational and safety-related issues.
- Support the Transport Manager in day-to-day fleet operations.
Required Skills
- Good communication and telephone handling skills.
- Good coordination and follow-up skills.
- Basic knowledge of MS Excel and computer applications.
- Ability to maintain registers and prepare daily reports.
- Knowledge of GPS/vehicle tracking systems.
- Ability to handle multiple activities simultaneously.
- Good problem-solving and decision-making ability.
- Willingness to work in shifts, if required.
- Ability to work under pressure in a transport environment.
Qualification & Experience
- 12th Pass / Diploma / Any Degree.
- Fresher / 2–5 years of experience in Transport, Logistics, Fleet Operations or Front Office Coordination.
- Fresher / Experience in commercial vehicle / LPG transportation will be an added advantage.
- Freshers with good communication and computer skills may also be considered based on requirement.
Preferred Candidate
The candidate should be disciplined, responsible, proactive and strong in follow-up, with the ability to coordinate effectively with drivers, workshop teams, customers and management.
