Role summary
Support day-to-day materials, warehouse and vendor-management activities for the company’s solar projects and operations. Ensure timely procurement and receipt of materials, accurate inventory control, efficient warehouse operations, and effective coordination with vendors and project teams to meet project schedules and quality standards.
Key responsibilities
- Vendor management: Maintain relationships with suppliers and contractors, obtain quotes, compare offers, issue purchase orders (POs), track deliveries, follow up on delays, and resolve supplier issues.
- Procurement support: Raise purchase requests, assist in sourcing common solar components (panels, inverters, mounting structures, cables, fasteners, batteries, etc.), validate delivery schedules and shipment documents, and coordinate with finance for invoice processing.
- Warehouse operations: Receive, inspect, and record incoming shipments; label and store materials; maintain tidy and safe warehouse layout; enforce FIFO/FEFO where applicable.
- Inventory control: Conduct regular physical counts, reconcile stock discrepancies, update inventory records (ERP/spreadsheet), prepare stock reports, and notify project leads of low-stock items.
- Material issuance: Prepare material issue notes, pack materials for dispatch to sites, arrange transport coordination, and ensure proper documentation accompanies shipments.
- Documentation and compliance: Maintain purchase orders, GRNs, inspection reports, warranties, MSDS and other compliance documents; support audits and maintain SOPs for warehouse processes.
- Quality checks: Visually inspect delivered materials for damage and conformity; coordinate technical inspections with engineers when needed and manage vendor replacements/returns for defective items.
- Coordination with teams: Liaise with project managers, site engineers, logistics partners, and finance to ensure seamless material flow and timely payments.
- Safety and housekeeping: Enforce warehouse safety norms, maintain PPE use, and report hazards or incidents promptly.
- Continuous improvement: Identify and suggest process improvements to reduce lead time, costs, and wastage.
Qualifications & experience
- Education: Diploma or bachelor’s degree in Commerce, Supply Chain, Logistics, Mechanical/Electrical engineering, or related field preferred.
- Experience: 1–3 yearsin solar company , in procurement, warehouse, or vendor management—experience in solar, construction, or electrical sectors is an advantage.
- Skills:
- Basic knowledge of procurement and inventory principles.
- Comfortable working with spreadsheets; familiarity with ERPs or inventory software is a plus.
- Strong communication and negotiation skills.
- Organized, detail-oriented, and able to manage multiple tasks and priorities.
- Basic understanding of solar components and terminology desirable.
- Valid driver’s license and ability to coordinate site visits.
Working conditions & expectations
- Onsite role based in Dehradun; frequent travel to nearby project sites may be required.
- Physical work such as inspecting and moving materials may be needed.
- Standard office hours with occasional extended hours to meet project deadlines.

- On-time delivery rate from vendors.
- Inventory accuracy vs. physical counts.
- Material shortages incidents per quarter.
- PO-to-delivery lead time.
- Number of vendor quality issues / reworks.
