Job Summary
We are looking for a highly experienced, responsible and proactive Senior Manager – Administration & Operations to oversee and coordinate the day-to-day activities of our Lower Parel and Vile Parle offices.
The candidate will be responsible for coordinating with office staff, managing manpower requirements, supporting recruitment activities, monitoring administrative operations and ensuring that all instructions and assignments from the Directors are implemented effectively and on time.
The ideal candidate should have strong leadership, communication, coordination and problem-solving skills and should be capable of independently managing multiple responsibilities.
Key Roles & Responsibilities
- Coordinate and supervise the day-to-day activities of office staff at the Lower Parel and Vile Parle offices.
- Ensure smooth functioning and proper coordination between different departments and office locations.
- Monitor staff performance, attendance, discipline and allocation of responsibilities.
- Identify manpower requirements and coordinate the hiring and recruitment of suitable candidates.
- Coordinate with HR, recruitment agencies and management for manpower planning and deployment.
- Assist in arranging required manpower for office and project-related requirements.
- Follow up with employees and concerned departments to ensure timely completion of assigned work.
- Implement instructions, policies and decisions issued by the Directors and Management.
- Report regularly to the Directors regarding office activities, manpower status, pending matters and operational requirements.
- Coordinate between Directors, management and employees for smooth communication and execution of instructions.
- Handle and monitor general administrative and operational activities of both offices.
- Ensure proper discipline, coordination and productivity among office staff.
- Identify operational and administrative issues and take necessary action for timely resolution.
- Maintain proper follow-up of important tasks, pending activities and management instructions.
- Assist management in improving office systems, coordination and overall operational efficiency.
- Coordinate with external agencies, vendors and service providers whenever required.
- Take ownership of additional responsibilities and assignments as instructed by the Directors.
Candidate Requirements
- Graduate / Postgraduate in Business Administration, Management or a relevant discipline.
- Minimum 10+ years of relevant experience in administration, operations, office management or senior management roles.
- Experience in managing multiple offices and coordinating with a large number of employees will be preferred.
- Strong leadership and team-management skills.
- Excellent communication and interpersonal skills.
- Strong follow-up and coordination abilities.
- Ability to hire, manage and deploy required manpower.
- Ability to work directly under the guidance of Directors and execute management instructions effectively.
- Good problem-solving and decision-making skills.
- Strong knowledge of MS Office, including Excel, Word and Email communication.
- Honest, responsible, disciplined and capable of handling confidential and important management matters.
Preferred Candidate Profile
The ideal candidate should be a mature, experienced and highly responsible professional who can act as a strong coordination link between the Directors and office staff.
The candidate should be capable of independently managing day-to-day office activities, ensuring discipline and coordination, arranging required manpower, following up on pending work and ensuring that management instructions are properly communicated and implemented.
