Job Summary:
The Sales Executive – PPC will act as a key link between the Sales, Production Planning & Control (PPC), and Vendor Management teams. The role involves processing sales orders, coordinating pre-production schedules, communicating with vendors for timely material supply, preparing work orders, and ensuring smooth production flow in line with customer delivery commitments.
Key Responsibilities
1. Sales & Order Processing
- Receive and process customer sales orders in coordination with the Sales team.
- Verify order specifications, delivery timelines, and payment terms before initiating production.
- Prepare and update the sales order tracker for management review.
2. Pre-Production Planning & Control (PPC) Support
- Liaise with PPC team to schedule production activities as per confirmed sales orders.
- Assist in preparing pre-production schedules, material requirement plans (MRP), and production timelines.
- Track the status of orders through each stage of the production cycle.
3. Vendor Coordination
- Communicate with approved vendors for procurement of required components, assemblies, and raw materials.
- Follow up with suppliers to ensure timely delivery and quality compliance.
- Coordinate resolution of material shortages or quality issues with vendors and PPC team.
4. Work Order Management
- Prepare and release internal work orders to production teams based on finalized schedules.
- Ensure work orders contain accurate specifications, quantities, and timelines.
- Maintain and update work order records for traceability and audits.
5. Documentation & Reporting
- Maintain all sales, production, and vendor communication records.
- Generate daily/weekly status reports for Sales and PPC heads.
- Assist in preparing MIS reports on order fulfillment, vendor performance, and production progress.
6. Cross-Functional Coordination
- Work closely with Sales, PPC, Quality, and Logistics teams to ensure customer delivery commitments are met.
- Escalate potential delays to the concerned departments and propose corrective actions.
Key Skills & Competencies
- Strong communication skills (written & verbal) for vendor and internal coordination.
- Good understanding of production planning in manufacturing setups (preferably automotive/bus manufacturing).
- Knowledge of work order preparation and tracking.
- Proficiency in MS Office (Excel, Word, PowerPoint) and ERP systems.
- Detail-oriented with good follow-up skills.
- Ability to work in a fast-paced, deadline-driven environment.
Qualification & Experience
- Graduate/Diploma in Mechanical/Automobile Engineering, or Business Administration with manufacturing exposure.
- 1-5 years of experience in sales coordination, PPC, or vendor management in a manufacturing company (preferably automotive or bus body building).
- Familiarity with production processes, vendor interaction, and order-to-delivery workflow is desirable.
Working Conditions
- Office-based with regular interaction with shop floor teams.
- Occasional vendor visits may be required.
