- Calendar Management: Schedule and coordinate appointments, meetings, and events, ensuring the Director schedule is followed efficiently.
- Communication Management: Handle incoming and outgoing communications on behalf of the Director, including managing emails, calls, and postal mail.
- Meeting Preparation and Follow-up: Prepare meeting agendas, take minutes during meetings, and ensure follow-up on action items.
- Travel Arrangements: Plan and organize travel itineraries, including flights, accommodations, and ground transportation, ensuring the Director's travel is seamless.
- Document Preparation and Management: Prepare, edit, and manage documents, presentations, and reports for internal and external communication.
- Confidentiality: Maintain the highest level of confidentiality regarding the business and personal affairs of the Director and the company.
- Stakeholder Management: Act as a liaison between the Director and other stakeholders, including employees, clients, and external partners.
- Project Management: Assist in managing projects, ensuring deadlines are met and projects are progressing as planned.
- Expense Management: Process and reconcile expenses and invoices related to the Director's office.
- Tech Savvy: Well-versed in advanced computer systems and adept at leveraging AI productivity tools (such as ChatGPT, scheduling assistants, or automation tools) to streamline administrative workflows.
- Minimum 2 years of experience as a Executive Assistant role for the Director
