Job Summary
We are looking for an experienced Accessioning Executive to manage the end-to-end process of receiving, verifying, registering, labeling, and routing patient samples within the diagnostic laboratory.
The candidate will be responsible for ensuring accurate sample accessioning, proper patient identification, timely entry of test requests into the Laboratory Information System (LIS), and smooth coordination between collection centres, hospitals, logistics teams, and laboratory departments.
The ideal candidate should have 3–5 years of relevant experience in a diagnostic laboratory, pathology lab, hospital laboratory, or reference laboratory and should have good knowledge of laboratory workflows and sample management.
Key ResponsibilitiesSample Receiving & Accessioning
- Receive and verify patient samples received from hospitals, collection centres, clinics, and other healthcare facilities.
- Check patient details, test requisitions, sample types, and sample quantity before processing.
- Register patient samples accurately in the Laboratory Information System (LIS).
- Generate and verify accession numbers, barcodes, and sample identification details.
- Ensure proper labeling and identification of all samples.
Sample Quality & Rejection Management
- Check samples for suitability before sending them for testing.
- Identify and document unsuitable or rejected samples, including:
- Mislabeled or unlabeled samples
- Insufficient quantity
- Hemolyzed samples
- Leaking or damaged containers
- Incorrect sample type
- Improperly transported or delayed samples
- Coordinate with collection centres and hospitals regarding sample rejection, recollection, or clarification.
Sample Sorting & Routing
- Sort and route samples to the appropriate laboratory departments.
- Ensure timely transfer of samples to departments such as:
- Hematology
- Biochemistry
- Microbiology
- Histopathology
- Molecular Diagnostics
- Other specialized testing sections
- Ensure proper storage and handling of samples according to laboratory protocols.
LIS & Documentation
- Maintain accurate patient and sample records in the LIS.
- Track sample status and movement throughout the laboratory workflow.
- Maintain proper documentation of sample receipt, rejection, processing, and dispatch.
- Ensure data accuracy and minimize errors in patient and sample registration.
Coordination & Communication
- Coordinate with sample collection teams, phlebotomists, logistics teams, hospitals, collection centres, and laboratory departments.
- Follow up on missing samples, incomplete requisitions, and discrepancies in patient details.
- Escalate critical sample-related issues to the appropriate supervisor or laboratory management.
Quality & Compliance
- Follow laboratory SOPs and quality management procedures.
- Ensure compliance with applicable laboratory quality standards and safety protocols.
- Maintain patient confidentiality and data security.
- Support internal audits and quality improvement initiatives related to sample accessioning and pre-analytical processes.
Team Coordination
- Guide and support junior accessioning staff when required.
- Monitor daily workload and ensure samples are processed within defined timelines.
- Support the team in maintaining smooth and efficient accessioning operations.
Qualifications
- Bachelor's degree in Medical Laboratory Technology (B.Sc. MLT), DMLT, Life Sciences, Biotechnology, or a related field.
- Candidates with relevant diagnostic laboratory accessioning experience may also be considered based on their qualifications and experience.
Experience
- 3–5 years of relevant experience in:
- Diagnostic Laboratories
- Pathology Laboratories
- Reference Laboratories
- Hospital Laboratories
- Sample Accessioning / Sample Processing
- Experience working with LIS systems is preferred.
- Experience in sample receiving, barcode generation, sample tracking, and rejection management will be an advantage.
Required Skills
- Strong knowledge of laboratory sample accessioning and pre-analytical processes.
- Experience with LIS and laboratory documentation.
- Good knowledge of sample identification, labeling, and rejection criteria.
- Strong attention to detail and accuracy.
- Good communication and coordination skills.
- Ability to work in a fast-paced diagnostic laboratory environment.
- Good computer skills.
- Ability to handle high sample volumes and meet turnaround time requirements.
- Strong teamwork and problem-solving abilities.
