Position: Import Documentation Executive

Reporting To: Import Manager / Purchase Manager
Job Summary
The Import Documentation Executive will be responsible for managing import-related documentation, regulatory compliance, and coordination with government authorities to ensure smooth and timely clearance of imported goods. The role requires sound knowledge of CDSCO regulations, import procedures, and logistics documentation.
Key Responsibilities :
Import Documentation & Compliance
- Prepare, verify, and maintain all import-related documents, including invoices, packing lists, bill of lading, airway bills, certificates, and shipment records.
- Coordinate with suppliers, freight forwarders, customs brokers, and internal departments for smooth import operations.
- Monitor shipment schedules and ensure timely documentation for customs clearance.
CDSCO Regulatory Activities
- Handle CDSCO registrations and application processes.
- Prepare and submit NOC applications and follow up with concerned authorities.
- Manage ADC-related documentation, queries, and compliance requirements.
- Ensure all imported products comply with applicable CDSCO regulations and guidelines.
Logistics & Transportation
- Generate and manage E-Way Bills for domestic transportation.
- Coordinate with logistics partners for movement of imported goods.
- Maintain records of transportation and regulatory documents.
Documentation Management
- Maintain accurate records of import documents, licenses, permits, and approvals.
- Track validity and renewal of regulatory registrations and licenses.
- Prepare reports related to import activities and compliance status.
Coordination & Communication
- Liaise with customs authorities, regulatory agencies, CHA, freight forwarders, and vendors.
- Support procurement and warehouse teams with import-related information and documentation.
- Resolve documentation discrepancies and shipment-related issues.
Required Qualifications
- Bachelor's degree in Commerce, Business Administration, Logistics, Supply Chain Management, or related field.
- 2–5 years of experience in import documentation and regulatory compliance.
Required Skills
- Strong knowledge of CDSCO import procedures, registrations, NOCs, and ADC requirements.
- Experience in E-Way Bill generation and management.
- Familiarity with customs clearance processes and import documentation.
- Good knowledge of MS Office (Excel, Word, Outlook).
- Strong organizational and record-keeping skills.
- Excellent communication and coordination abilities.
- Ability to manage multiple shipments and documentation deadlines efficiently.
Preferred Experience
- Experience in pharmaceutical, medical device, healthcare, or chemical import industry.
- Knowledge of DGFT and other import-related regulatory requirements.
Pay: ₹10,079.17 - ₹30,000.00 per month
