Key Responsibilities
- Greeting Visitors: Warmly welcome guests, clients, and visitors, ensuring they sign in (if necessary), and direct them to the appropriate person or department.
- Communication Management: Answer, screen, and forward incoming phone calls, take messages, and manage general email inquiries in a professional and timely manner.
- Administrative Support: Perform various clerical tasks such as filing, data entry, photocopying, faxing, and preparing documents or reports.
- Scheduling and Coordination: Manage appointment schedules, update calendars, book meeting rooms, and sometimes coordinate travel arrangements and accommodations for staff.
- Mail and Deliveries: Receive, sort, and distribute daily mail, packages, and deliveries, and prepare outgoing correspondence.
- Office Maintenance: Ensure the reception area and common areas remain tidy, presentable, and well-organized.
- Inventory Management: Monitor and order office supplies, and keep inventory of stock.
- Security Adherence: Follow safety and security procedures, which may include issuing visitor badges and maintaining visitor logs.

Hard Skills:

- Office Equipment: Hands-on experience with standard office equipment, such as multi-line phone systems, printers, scanners.
Education: A high school diploma or equivalent (GED)
Experience: Previous experience as a receptionist or front desk representative.
