Job Title - Executive – Logistics
Department - Logistics
Location - Vadodara
Job Purpose
To ensure smooth, accurate, and timely execution of logistics operations including sale returns, documentation, inventory review, sample arrangement, and MIS reporting. The role demands strong process orientation, coordination, and knowledge of ERP & documentation systems.
Sale Return Management
· Coordinate with customers, sales team, and warehouse for smooth material return.
· Prepare necessary documents such as credit notes, debit notes, return challans, etc.
· Ensure proper inspection, segregation, and posting of sale return in ERP.
· Maintain sale return log and ensure timely closure of return cases.
· Track deliveries and ensure timely receipt.
· Track shipments till delivery and update customers & sales team.
· Ensure zero processing and documentation errors.
Sample Arrangement for Customers
· Coordinate with sales team for sample requests.
· Arrange packing, documentation, and dispatch of samples.
· Maintain sample issuance record and ensure cost control.
· Coordinate with warehouse team for picking, packing & loading.
Inventory & Ageing Stock Management
· Organize Ageing Inventory Review Meetings with sales, purchase & warehouse teams.
· Highlight slow-moving and non-moving items with data-backed reports.
· Monitor stock movement and support liquidation planning.
Documentation & Compliance
· Prepare and verify Invoice, E-way Bill, Delivery Challan, Credit Note, Debit Note.
· Ensure compliance with GST, transport, and audit requirements.
· Maintain accurate documentation for internal and statutory audits.
ERP & Process Management
· Operate ERP systems (SAP / Tally / Oracle / Any Logistics ERP).
· Ensure timely and accurate entries for dispatch, sale return, inventory, and transport.
· Follow SOPs and support process improvements in logistics operations.
Reporting & MIS
· Prepare and circulate daily/weekly/monthly reports including dispatch status, ageing inventory, POD, sale return summary, and freight summary.
· Maintain dashboards for management review and decision-making.
Customer Service
· Assist customers with correct documentation and delivery requirements.
· Ensure minimum Process, Documents related complaints and timely resolution.
Required Skills & Competencies
· Strong knowledge of logistics/Dispatch Process and documentation.
· Understanding of invoice, e-way bill, credit note, debit note processes.
· ERP working knowledge (SAP/Tally/Other).
· MS Office proficiency (Excel, Word, Outlook).
· Good communication, follow-up, and coordination skills.
· Strong process orientation and data accuracy.
Qualification & Experience
· Graduate in Logistics/Supply Chain/Commerce or related field.
· 1–4 years of experience in logistics, dispatch-Back office operations.
· Experience in chemical, or trading industry preferred.
Pay: ₹25,000.00 - ₹30,000.00 per month
