Position: Receptionist
Location: Vatva GIDC, Ahmedabad
Position Overview:
The receptionist is responsible for greeting visitors, handling phone calls, and performing various administrative tasks to ensure smooth operation of the office. This role involves a high level of customer service and organization.
Responsibilities:
- Greeting and Welcoming Visitors:
- Greet visitors and clients in a professional and courteous manner.
- Direct visitors to the appropriate person or department.
- Handle visitor check-in and check-out procedures.
- Phone and Email Management:
- Answer and direct phone calls promptly and professionally.
- Manage voicemail and email correspondence, ensuring timely responses.
- Schedule and confirm appointments and meetings.
- Administrative Support:
- Perform data entry and maintain accurate records and files.
- Prepare and distribute internal and external correspondence.
- Manage office supplies and inventory, placing orders as needed.
- Scheduling and Coordination:
- Assist with scheduling meetings, conferences, and travel arrangements.
- Coordinate with other departments to ensure efficient office operations.
- Customer Service:
- Address and resolve inquiries and issues from clients, visitors, and employees.
- Provide information about the company and its services/products.
- Office Maintenance:
- Ensure the reception area is tidy and presentable.
- Report any maintenance or repair needs to the appropriate department.
Qualifications:
- High school diploma or equivalent required. Additional administrative or customer service certifications are a plus.
- Experience:
- Previous experience in a receptionist or administrative role is preferred.
- Skills:
- Excellent communication and interpersonal skills.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Strong organizational and multitasking abilities.
- Ability to maintain confidentiality and handle sensitive information.
- Attributes:
- Positive attitude and strong problem-solving skills.
- Ability to work independently and as part of a team.
