Job Description – Procurement Executive
Department: Procurement (Property Management)
Location: MMTP Projects Pvt. Ltd. – Site
Reporting To: Property Manager
Role Overview
The Procurement Executive will support day-to-day site procurement activities including sourcing, price comparison, PO creation, vendor coordination, and documentation. The role ensures timely availability of materials/services for smooth site operations while following company procurement processes and compliance requirements.
Key Responsibilities
1. Sourcing & Quotation Management
Obtaining quotes from vendors for materials/services as per Request raised by site teams.
Prepare basic comparison sheets (L1/L2/L3).
Ensure minimum 3 quotes unless justified otherwise.
Coordinate with vendors for pricing, delivery timelines, and technical clarifications.
2. Purchase Orders & Documentation
Create Purchase Orders / Work Orders in system as per approved comparisons.
Maintain updated procurement files (PR, RFQ, quotes, CS, PO copies).
Assist in tracking approvals and ensuring documentation accuracy.
3. Delivery & GRN Coordination
Follow up with vendors for timely deliveries.
Coordinate with stores/receiving team for inward entry, GRN, and quality checks.
Escalate discrepancies such as shortages, damage, or incorrect items.
4. Vendor Coordination
Maintain regular communication with vendors regarding lead times, billing, and service schedules.
Support vendor onboarding by collecting basic documents (GST, PAN, bank details, etc.).
Maintain an updated vendor database.
5. Invoice & Payment Support
Coordinate with Finance for invoice submission, GRN confirmation, and 3‑way matching (PO–GRN–Invoice).
Ensure timely processing of vendor payments as per terms.
Support in resolving invoice discrepancies.
6. Reports & Trackers
Maintain daily/weekly procurement trackers.
Update PR–PO status, pending deliveries, rate confirmations, etc.
Support with monthly MIS for site management.
Skills & Qualifications
Educational Qualification
Any Graduate (Commerce/Business/Engineering preferred).
Experience
1–3 years of experience in procurement (site procurement preferred but not mandatory).
Freshers with internship experience may also be considered.
Technical Skills
Basic knowledge of procurement cycle (PR → RFQ → CS → PO → GRN).
Good proficiency in MS Excel (VLOOKUP, Pivot Table, formatting).
Familiarity with ERP/software for PO creation (training can be provided).
Understanding of GST basics (HSN/SAC codes desirable).
Soft Skills
Good communication and negotiation ability.
Organized, detail‑oriented, and proactive.
Ability to multitask and work under timelines.
Positive attitude and ability to coordinate with multiple stakeholders.
Work Conditions
Work location: MMTP site – full-time onsite.
Must be comfortable coordinating with vendors and internal teams.
May require occasional local market visits.
