Executive Assistant & Management Support Responsibilities
1. Calendar & Meeting Management
- Manage and coordinate calendars for Management, including meetings, calls, and virtual conferences.
- Arrange and schedule Google Meet, Zoom, and other virtual meetings, including sending invites and follow-ups.
2. Travel & Logistics Management – Management, Family, Employees & Guests
- Manage end-to-end domestic and international travel arrangements for Management and family, including:
- Flight bookings
- Hotel reservations
- Pranam services
- Airport transfers
- Local car arrangements
- Web check-in and boarding pass issuance
- Coordinate travel for employees and guests, including flights, accommodation, local transport, and check-in formalities.
- Maintain seamless coordination with travel vendors and service providers.
3. Visa & Documentation Support
- Handle visa applications for Management, family, employees, and guests as required.
- Coordinate documentation, appointments, and follow-ups with visa agents/consulates.
4. Financial & Expense Coordination (Management-related)
- Review, verify, and process credit card statements post approval from Management.
- Verify and process travel-related invoices for payment.
- Manage renewal of club memberships and process monthly statements for payment.
- Maintain updated records of:
- Frequent flyer numbers
- Credit cards
- Club memberships and other subscriptions
5. Records & Documentation
- Maintain organised records of all invoices processed for payment related to Management and Admin.
6. Vehicle Maintenance – Management
- Coordinate repair and maintenance of Management vehicles, including servicing, insurance follow-ups, and vendor coordination.
7. General Executive Support
- Provide day-to-day administrative and executive support to Management.
- Handle ad-hoc and time-sensitive assignments with discretion and efficiency.
Pay: ₹75,000.00 - ₹90,000.00 per month
