About the Role
Ryvanta is seeking a highly organized, proactive, and detail-oriented Executive Assistant (EA) cum HR Coordinator to support leadership in day-to-day operations, project coordination, task management, and human resource functions. The ideal candidate should have a minimum of 2 years of experience in both Executive Assistance and HR Coordination, with strong follow-up skills, excellent time management, and the ability to ensure smooth execution of organizational priorities. This role requires someone who can act as a bridge between management and various departments, ensuring deadlines are met, projects are tracked, communication flows efficiently, and HR processes are executed effectively.
Key Responsibilities
- Executive Assistance & Management Coordination
- Manage the calendars, schedules, meetings, and appointments of senior management.
- Prepare meeting agendas, MOMs (Minutes of Meeting), and track action items.
- Coordinate with internal teams to ensure timely completion of assigned tasks and projects.
- Monitor project timelines and follow up with stakeholders to ensure deliverables are achieved as planned.
- Act as a communication link between management and departments.
- Prepare reports, presentations, summaries, and business documents for management review.
- Track pending tasks, commitments, and deadlines across teams.
- Assist management in planning, organizing, and executing strategic initiatives.
Project Coordination & Execution
- Coordinate multiple projects simultaneously and ensure timely execution.
- Maintain project trackers, task lists, and progress reports.
- Conduct regular follow-ups with team members regarding project status and deliverables.
- Escalate delays, bottlenecks, and concerns to management proactively.
- Ensure inter-departmental coordination for smooth workflow and project completion.
- Support process implementation and monitor adherence to timelines.
Human Resources Coordination
- Assist in recruitment activities including job posting, screening, interview scheduling, and candidate coordination.
- Coordinate onboarding and induction processes for new employees.
- Maintain employee records, HR documentation, and personnel files.
- Track employee attendance, leave records, and probation reviews.
- Assist in employee engagement activities and internal communication initiatives.
- Support performance review processes and employee feedback mechanisms.
- Ensure compliance with HR policies and company procedures.
Process Management & Follow-Up
- Develop and maintain trackers for projects, recruitment, operations, and management activities.
- Monitor workflow efficiency and ensure timely task closure.
- Maintain proper documentation and records for all ongoing projects and HR activities.
- Follow up consistently with stakeholders to ensure accountability and execution.
- Identify process gaps and suggest improvements to enhance productivity and coordination.
Administrative Responsibilities
- Coordinate travel arrangements, meetings, conferences, and events whenever required.
- Maintain confidential business and employee information.
- Manage correspondence, official communications, and documentation.
- Support leadership in administrative and operational activities as required.
Required Skills
- Strong Executive Assistant and coordination skills.
- Basic to intermediate knowledge of HR operations and recruitment processes.
- Excellent follow-up and task-tracking abilities.

- Proficiency in MS Excel, Word, PowerPoint, and Google Workspace.

Candidate Profile
- Bachelor's Degree in Human Resources, Business Administration, Management, Commerce, or a related field.
- Minimum 2–5 years of experience as an Executive Assistant, HR Coordinator, Process Coordinator, Project Coordinator, or similar role.
- Prior experience handling both HR and Executive Assistance responsibilities.
- Experience in task management, project coordination, and stakeholder follow-ups.
- Strong understanding of organizational processes and team coordination.
- Comfortable working directly with senior leadership and cross-functional teams.
- Self-driven, disciplined, and execution-focused professional.
