We are seeking a highly organized, proactive, and discreet Executive Assistant to provide comprehensive administrative support to our senior leadership team. The ideal candidate will be a critical thinker, capable of managing multiple priorities with exceptional attention to detail, and possess a strong ability to anticipate needs and proactively address them. This role requires a professional who can maintain strict confidentiality and exercise sound judgment in a fast-paced environment.
- Manage complex calendars, including scheduling meetings, appointments, and conferences, and resolving scheduling conflicts efficiently.
- Coordinate extensive domestic and international travel arrangements, including flights, accommodations, ground transportation, and detailed itineraries.
- Prepare and edit correspondence, communications, presentations, and other documents, ensuring accuracy and professional presentation.
- Organize and facilitate meetings, including preparing agendas, distributing pre-reading materials, taking minutes, and following up on action items.
- Act as a primary point of contact and gatekeeper for the executive, screening calls, emails, and visitors, and redirecting as appropriate.
- Process expense reports and invoices, ensuring compliance with company policies and timely submission.
- Conduct research, compile data, and prepare reports or summaries as requested by the executive.
- Assist with special projects and initiatives, providing administrative support and coordination as needed.
- Maintain an organized filing system for important documents, both physical and digital.
- Handle confidential information with the utmost discretion and integrity.
