Responsibilities :
- Inquiry to Execution: Manage the full lifecycle of private event bookings, from initial member inquiry and site tours to post-event feedback.
- Member Calendar Delivery: Collaborate on the curation and execution of our exclusive internal member events calendar (panel talks, tastings, live art).
- Cross-Department Briefing: Produce and distribute precise weekly Function Sheets (BEOs) to ensure the Culinary and F&B operations teams are perfectly aligned.
- On-Site Hosting: Provide flawless, on-the-day management of live events, acts, and setups, troubleshooting proactively under pressure.
- VIP Relations: Deliver high-touch, elite customer service tailored to high-net-worth individuals (HNWIs) and club members.
- Financial Administration: Handle proposals, contracts, invoicing, and deposit tracking securely and efficiently.
- Vendor Coordination: Source, negotiate with, and supervise premium external suppliers, decorators, and entertainers.
- Tech Management: Maintain accurate guest lists, RSVPs, and booking data using club CRM and event management software.
- Luxury Experience: Requires 2–3 years of proven event coordination experience within a private members' club, luxury boutique hotel, or premium hospitality brand.
- Schedule Flexibility: Flexibility to work dynamic hours, including evenings and weekends, to align with live club functions.
