We are seeking a highly organized, proactive, and professional Executive Assistant to the Director to provide comprehensive administrative and executive support. The ideal candidate will manage the Director's schedule, coordinate meetings, handle confidential information, prepare reports, and ensure smooth communication between internal departments and external stakeholders.
Key ResponsibilitiesExecutive Support
- Manage the Director's daily calendar, appointments, and meetings.
- Coordinate travel arrangements, accommodation, and itineraries.
- Screen phone calls, emails, and correspondence.
- Prepare agendas, presentations, reports, and meeting materials.
- Take Minutes of Meeting (MOM) and follow up on action items.
Communication & Coordination
- Act as the primary point of contact between the Director and internal/external stakeholders.
- Coordinate with departments to track project progress and deadlines.
- Ensure timely follow-up on assigned tasks.
- Draft professional emails, letters, and official communications.
Documentation & Reporting
- Maintain confidential files, records, and company documents.
- Prepare MIS reports, dashboards, and executive summaries.
- Organize contracts, agreements, and business correspondence.
- Ensure proper documentation and filing systems.
Administrative Responsibilities
- Organize meetings, conferences, and business events.
- Handle office administration related to the Director's office.
- Manage office supplies and executive requirements.
- Coordinate with vendors and service providers when required.

Qualification

Preferred Candidate Profile
- 3–8 years of experience as an Executive Assistant, Personal Assistant, or Executive Secretary.
- Experience supporting senior leadership, Directors.
- Excellent command of English and Hindi (Punjabi is an advantage).
- Professional personality with strong presentation and interpersonal skills.
- Willingness to travel occasionally, if required.
