Position: Admin Assistant/Front Desk/Receptionist
Reporting To: HR Manager
Location: Kochi, Kerala
Position Summary
We are seeking a professional, organized, and customer-focused Admin Assistant / Front Desk / Receptionist to be the first point of contact for visitors and employees. The successful candidate will manage front office operations, provide administrative support, coordinate office activities, and ensure smooth day-to-day functioning of the office while maintaining a welcoming and professional environment.
Key Responsibilities - Front Desk & Reception
- Greet and welcome visitors, clients, and vendors in a courteous and professional manner.
- Manage incoming phone calls, emails, and inquiries, directing them to the appropriate departments.
- Maintain the reception area to ensure a clean, organized, and professional appearance.
- Manage visitor registrations and issue visitor passes as required.
- Coordinate meeting room bookings and hospitality arrangements.
Administrative Support
- Provide administrative support to the HR Manager and other departments.
- Manage incoming and outgoing courier services, mail, and deliveries.
- Maintain office filing systems, records, and documentation.
- Assist in preparing letters, reports, presentations, and other business documents.
- Maintain office supplies inventory and coordinate procurement of stationery and office consumables.
- Coordinate with vendors for office maintenance and facility-related requirements.
HR & Office Coordination
- Support HR with employee onboarding documentation and induction logistics.
- Assist in scheduling interviews and coordinating candidate visits.
- Maintain employee records and confidential documents.
- Support employee engagement activities, meetings, and company events.
- Coordinate travel bookings, hotel reservations, and transportation arrangements when required.
Office Administration
- Ensure smooth day-to-day office operations.
- Coordinate maintenance requests and liaise with building management.
- Monitor office cleanliness and ensure facilities are maintained.
- Track office expenses and assist with invoice processing.
- Support compliance with company policies and administrative procedures.
Qualifications
- Bachelor's degree in Business Administration, Commerce, or a related field.
- 1–3 years of experience in front office, administration, or receptionist roles.
- Fresh graduates with excellent communication skills may also be considered.

Pay: ₹30,000.00 - ₹50,000.00 per month
