Job Summary:
The Service Receptionist / Administrator is the first point of contact for customers at the dealership service center. This role ensures a smooth customer experience by handling service bookings, coordinating with service advisors, managing documentation, and maintaining efficient front-desk operations.
Key Responsibilities:
1. Customer Handling & Front Desk Management
- Greet customers professionally and understand their service requirements
- Create a positive first impression of the dealership
- Direct customers to Service Advisors or relevant departments
- Handle customer inquiries (walk-in, phone, email)
2. Appointment & Job Card Coordination
- Schedule service appointments and maintain booking records
- Register vehicles in the system and generate job cards
- Coordinate with Service Advisors for timely allocation of vehicles
- Ensure proper queue management and reduce waiting time
3. Documentation & Data Entry
- Maintain accurate customer and vehicle records
- Update service history in Dealer Management System (DMS)
- Ensure all required documents are properly recorded and filed
- Assist in warranty documentation and approvals
4. Billing & Administrative Support
- Support billing process and verify customer details
- Handle invoice handover and explain basic billing queries
- Maintain daily reports (vehicle inflow, delivery status, pending jobs)
- Coordinate with accounts for payment tracking
5. Customer Experience & Follow-ups
- Ensure high customer satisfaction through courteous communication
- Handle basic complaints and escalate when required
- Conduct follow-ups for service reminders and pending approvals
- Assist in customer feedback collection (CSI process)
6. Coordination & Internal Communication
- Coordinate with workshop, parts, and service teams
- Ensure smooth communication between departments
- Track vehicle status and update customers when required
