Job Overview
We are seeking an experienced, highly organized, and proactive Executive Secretary to support our executive leadership team. In this role, you will serve as the primary point of contact for internal and external constituencies on all matters relating to the executive office. The ideal candidate is a master of calendar management, an exceptional communicator, and a trusted partner who can anticipate needs and handle confidential information with absolute discretion.
Key Responsibilities
- Calendar & Schedule Management: Coordinate and manage complex executive calendars, scheduling meetings, appointments, and travel arrangements (both domestic and international).
- Gatekeeping & Communication: Act as the "gatekeeper" for the executive office, screening phone calls, handling inquiries, and managing incoming/outgoing mail and emails.
- Meeting Preparation: Prepare agendas, assemble briefing materials, take detailed minutes during meetings, and track action items to ensure follow-through.
- Document Management: Draft, proofread, and format professional correspondence, reports, presentations, and memos. Maintain an organized digital and physical filing system.
- Expense & Travel Reporting: Process expense reports, track invoices, and manage the executive office budget accurately.
- Liaison: Serve as a seamless bridge of communication between the executive office and internal departments, board members, clients, and external partners.
Required Skills & Qualifications
- Experience: [X] or more years of experience as an Executive Secretary, Executive Assistant, or senior administrative role supporting C-suite executives.
- Technical Proficiency: Advanced skills in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and standard project management or communication tools (e.g., Slack, Teams, Zoom).
- Organization: Exceptional time-management skills with a proven ability to prioritize tasks, meet tight deadlines, and juggle multiple projects at once.
- Communication: Top-tier written and verbal communication skills, with a polished and professional demeanor.
- Discretion: High level of integrity and a proven track record of handling highly sensitive and confidential corporate information.
- Problem-Solving: Proactive mindset with the ability to anticipate needs and resolve logistical issues independently.
Preferred Qualifications (Optional)
- Associate’s or Bachelor’s degree in Business Administration, Communications, or a related field.
- Professional certification (e.g., Certified Administrative Professional - CAP
Pay: ₹35,000.00 - ₹50,000.00 per month
