VFX Production Coordinator
A VFX production coordinator manages the day-to-day workflow of visual effects projects. Acting as the vital link between producers, supervisors, and artists, they track shot progress, manage deadlines, handle asset deliveries, and ensure the team stays on schedule and within budget.
Core Responsibilities:
- Schedule Management: Develops and maintains production schedules, ensuring all tasks across various departments (like Roto, Paint, Matchmove, and Comp) are completed on time
- Progress Tracking: Updates production tracking databases daily (such as Flow Production Tracking / ShotGrid or Ftrack) with current shot statuses, version numbers, and artist tasks
- Review Organization: Sets up and runs daily reviews ("dailies") or client rounds. Takes detailed notes on supervisor and client feedback and distributes them to the artists
- Asset & Data Flow: Organizes the movement of digital assets through the pipeline, ensuring artists have the correct files and reference materials
- Client Deliverables: Coordinates the uploading/downloading of materials, prepares delivery packages, and verifies that content meets the required specifications
- Problem Solving: Proactively identifies bottlenecks or scheduling conflicts and flags them to the VFX Producer or VFX Supervisor early on
Essential Skills
- Communication: Acts as the central hub for the crew. Must clearly translate creative and technical briefs between clients and artists
- Software Proficiency: Strong working knowledge of production tracking software (ShotGrid/Flow Production Tracking, Ftrack) and project management tools like Microsoft Excel
- Pipeline Understanding: A solid grasp of the VFX pipeline (from pre-production to final compositing) is critical to understanding dependencies.
- Multitasking: Ability to juggle multiple active shots and shows simultaneously while remaining calm under pressure
