Role Summary
The Executive Assistant will serve as the primary coordination point between the Managing Director and all functional departments involved in the real estate business — including Liaison, Site/Project, Sales, and Legal teams. The role is central to ensuring timely information flow, tracking action items, and providing the MD with consolidated, accurate updates to support fast decision-making.
Key Responsibilities
Cross-Functional Coordination
- Act as the single point of contact between the MD's office and Liaison, Site, Sales, and Legal teams
- Follow up with respective departments on pending approvals, documentation, and action items
- Schedule and coordinate inter-departmental meetings, ensuring the right stakeholders are present
Reporting & Updates to MD
- Collate daily/weekly status updates from each department (site progress, liaison/approval status, sales numbers, legal/compliance matters) into a consolidated report for the MD
- Flag delays, bottlenecks, or escalations proactively before they impact timelines
- Maintain a live tracker of open items across departments with clear ownership and due dates
Liaison Coordination
- Track status of statutory approvals, permissions, and government/regulatory liaison matters
- Coordinate with the liaison team on documentation required for approvals and follow up on turnaround times
Site Team Coordination
- Obtain regular construction/project progress updates from site teams
- Coordinate site visits, review meetings, and documentation (photos, progress reports) for the MD's review
Sales Team Coordination
- Track sales MIS, inventory status, and collection updates from the sales team
- Coordinate sales review meetings and ensure the MD has updated numbers ahead of discussions
Legal Team Coordination
- Track status of agreements, title documents, litigation matters, and compliance filings
- Ensure legal documentation requiring MD's signature/approval is reviewed and routed on time
General EA Duties
- Manage the MD's calendar, meetings, and travel
- Draft correspondence, MOMs (minutes of meetings), and presentations
- Handle confidential information with discretion
- Prepare the MD for meetings with relevant briefing notes and background material
Key Skills & Competencies
- Strong coordination and follow-up skills across multiple teams
- Excellent verbal and written communication
- Ability to synthesize information from diverse sources into clear, concise updates
- High level of discretion and confidentiality
- Proficiency in MS Office (especially Excel and PowerPoint) for MIS and reporting
- Real estate industry exposure preferred (understanding of approvals/liaison process, project lifecycle, sales cycle)
Qualifications
- Graduate/Postgraduate in any discipline (MBA preferred)
- 4–8 years of experience as an EA/Chief of Staff, preferably in real estate, construction, or infrastructure
- Prior experience coordinating with liaison, legal, or project teams is an advantage
Reporting Cadence
- Daily flash update to MD (key items, escalations)
- Weekly consolidated department-wise status report
- Ad hoc updates on urgent/time-sensitive matters
Pay: ₹40,000.00 - ₹50,000.00 per month
