Assistant Manager – HR & Admin: Roles & Responsibilities1. Recruitment & Talent Acquisition
- Manage end-to-end recruitment process.
- Coordinate interviews with department heads.
- Prepare offer letters and appointment letters.
- Conduct employee onboarding and induction.
- Maintain recruitment records and candidate database.
2. Employee Onboarding & Offboarding
- Complete joining formalities and documentation.
- Coordinate induction programs for new employees.
- Manage resignation, exit interviews, and full & final settlement.
- Issue experience, relieving, and service certificates.
3. Attendance & Leave Management
- Monitor daily attendance through biometric and HRMS.
- Verify attendance records and resolve discrepancies.
- Process leave applications and attendance regularization.
- Coordinate with HODs for approvals.
4. Payroll & Statutory Compliance
- Prepare monthly payroll inputs.
- Coordinate salary processing with the payroll team.
- Ensure compliance with PF, ESIC, Professional Tax (PT), Labour Welfare Fund (LWF), TDS, and other statutory requirements.
- Maintain employee salary records.
5. HR Operations
- Maintain employee personnel files and HR records.
- Update HRMS with employee information.
- Draft HR letters, notices, circulars, and policies.
- Prepare HR reports and MIS.
6. Performance Management
- Coordinate probation reviews and confirmations.
- Support annual performance appraisal process.
- Maintain employee performance records.
- Assist in implementing performance improvement plans.
7. Employee Engagement
- Organize employee engagement activities.
- Celebrate birthdays, festivals, and company events.
- Address employee grievances.
- Promote a positive work culture.
8. Training & Development
- Identify training requirements.
- Coordinate internal and external training programs.
- Maintain training attendance and feedback records.
- Track employee skill development.
9. Administration
- Manage office administration activities.
- Supervise housekeeping, security, and pantry services.
- Coordinate with vendors and service providers.
- Handle office assets and inventory.
- Ensure proper maintenance of office facilities.
10. Facility & Asset Management
- Maintain office infrastructure.
- Coordinate repairs and preventive maintenance.
- Manage company ID cards, access cards, laptops, and other assets.
- Ensure workplace safety and cleanliness.
11. Documentation & Compliance
- Maintain statutory registers and HR documentation.
- Ensure compliance with company policies and labour laws.
- Support internal and external audits.
- Maintain confidential employee records.
12. Employee Relations
- Handle employee queries and concerns.
- Support disciplinary actions and investigations.
- Promote effective communication between management and employees.
- Assist in conflict resolution.
13. MIS & Reporting
- Prepare monthly HR dashboards and reports.
- Analyze employee turnover, absenteeism, and recruitment metrics.
- Submit management reports on HR and administrative activities.
14. Policy Implementation
- Ensure implementation of HR policies and SOPs.
- Communicate policy updates to employees.
- Monitor policy compliance across departments.
15. General Responsibilities
- Support management in achieving organizational objectives.
- Maintain confidentiality of employee and company information.
- Continuously improve HR and administrative processes.
- Perform any other HR and administrative duties assigned by management.
