Job Summary
The Senior Executive – Inventory & Account Settlement will be responsible for managing inventory accounting, stock reconciliation, vendor account settlements, GRN validation, invoice processing, and ensuring accurate financial control over inventory transactions. The role requires close coordination with Stores, Procurement, Production, PPC, Logistics, and Finance teams to ensure timely reconciliation and settlement of transactions while maintaining compliance with company policies and accounting standards.
Key Responsibilities Inventory Management & Reconciliation
- Monitor and reconcile inventory transactions across all units.
- Perform daily, weekly, and monthly stock reconciliations.
- Validate Goods Receipt Notes (GRNs), stock transfers, and inventory adjustments.
- Coordinate physical stock verification and cycle counts.
- Investigate and resolve inventory discrepancies and variances.
- Monitor inventory aging and prepare inventory analysis reports.
Account Settlement
- Process and verify supplier invoices against purchase orders and GRNs.
- Coordinate vendor account reconciliation and settlement activities.
- Ensure timely payment processing and settlement of accounts.
- Follow up on debit notes, credit notes, and outstanding balances.
- Reconcile inter-unit transactions and inventory movements.
- Maintain records of advances, adjustments, and settlement schedules.
Financial Control & Compliance
- Ensure compliance with accounting policies and internal controls.
- Support month-end and year-end closing activities.
- Prepare schedules for statutory and internal audits.
- Assist in GST, TDS, and other statutory reconciliations related to inventory transactions.
- Maintain proper documentation and audit trails.
Reporting & MIS
- Prepare daily, weekly, and monthly MIS reports on:
- Inventory status
- Stock variance
- Inventory aging
- Vendor settlements
- Outstanding balances
- Inventory valuation
- Provide management reports and analytical insights.
ERP & System Management
- Perform inventory and accounting transactions in ERP systems (SAP/Odoo/Oracle).
- Ensure accuracy of system entries and master data maintenance.
- Support process improvements and system automation initiatives.
Educational Qualification
- Bachelor's Degree in Commerce, Finance, or Accounting (B.Com/BBA).
- MBA (Finance) / M.Com / CA Inter / CMA Inter preferred.
Experience
- 5 to 8 years of experience in Finance, Inventory Accounting, or Account Settlement functions.
- Experience in Manufacturing, Textile, or Export industries preferred.
Technical Skills
- Strong knowledge of inventory accounting and reconciliation.
- Understanding of GST, TDS, and statutory compliance.
- Experience with ERP systems (SAP, Odoo, Oracle, etc.).
- Advanced proficiency in Microsoft Excel and MIS reporting.
- Knowledge of financial controls and audit processes.
