Job Summary
We are looking for an experienced Senior Manager – Purchase & Import Export to lead our procurement and international trade operations in the luxury furniture manufacturing industry. The ideal candidate will be responsible for strategic sourcing, domestic and international purchasing, import-export compliance, vendor development, logistics coordination, and inventory planning to ensure uninterrupted production while optimizing costs and maintaining the highest quality standards.
Key Responsibilities
- Develop and execute procurement strategies for domestic and international sourcing.
- Manage the procurement of wood, veneer, plywood, MDF, leather, fabric, foam, metal components, hardware, packaging materials, adhesives, and other production-related items.
- Handle complete import and export operations, including customs documentation, shipping, freight forwarding, and statutory compliance.
- Coordinate with overseas suppliers, customs house agents (CHA), freight forwarders, and logistics service providers.
- Negotiate prices, contracts, payment terms, and delivery schedules with suppliers to achieve cost savings.
- Identify, evaluate, and develop reliable domestic and international vendors.
- Monitor inventory levels and ensure timely material availability for production.
- Ensure compliance with DGFT, Customs, GST, FEMA, and other applicable import-export regulations.
- Prepare purchase orders, commercial agreements, MIS reports, procurement budgets, and cost analysis reports.
- Collaborate with Production, Planning, Stores, Finance, Quality, and Sales departments for effective supply chain management.
- Resolve supplier quality issues, shipment delays, and commercial disputes.
- Monitor supplier performance through periodic evaluations and implement continuous improvement initiatives.
- Lead and mentor the Purchase and Import-Export team to achieve departmental objectives.
- Manage end-to-end import and export operations for raw materials, components, and finished furniture products.
- Ensure compliance with DGFT, Customs, FEMA, GST, and other international trade regulations.
- Handle import and export documentation, including Commercial Invoice, Packing List, Bill of Lading, Airway Bill, Certificate of Origin, Shipping Bill, and Letter of Credit (LC).
- Coordinate with customs brokers, freight forwarders, shipping lines, CHA, and logistics partners for smooth cargo movement.
- Monitor shipment schedules to ensure timely delivery and minimize logistics costs.
- Manage overseas supplier and customer communication regarding shipments, documentation, and delivery schedules.
- Oversee import licenses, export incentives, duty benefits, and regulatory compliance.
- Negotiate freight rates and logistics contracts to optimize transportation costs.
- Resolve customs clearance issues and shipment delays efficiently.
- Prepare MIS reports on imports, exports, shipment status, freight costs, and compliance.
- Coordinate with Purchase, Production, Stores, Finance, and Sales teams for effective supply chain planning.
- Lead and mentor the Import & Export team to improve operational efficiency.
Required Skills
- Strong knowledge of strategic sourcing and procurement.
- Expertise in import-export documentation, customs clearance, and international trade procedures.
- Excellent negotiation and vendor management skills.
- Knowledge of Incoterms, Letter of Credit (LC), international payments, and logistics.
- Strong commercial, analytical, and problem-solving abilities.
- Experience with ERP systems and advanced Microsoft Excel.
- Excellent leadership, communication, and decision-making skills.
- Ability to work under pressure and manage multiple projects simultaneously.
