1. Coal E-Auction Participation & Procurement
- Participate in coal e-auctions.
- Analyze auction notifications, schedules, reserve prices, and quantity availability.
- Place bids strategically based on the requirement, budget, and market trends.
- Finalize auction purchases and coordinate with suppliers for allotment orders.
- Maintain records of successful bids, auction volumes, and pricing.
2. Logistics & Delivery Coordination
3. Quality Check & Verification
- Coordinate sampling and testing at mines, washery, weighbridges, and plant.
- Verify & compare coal quality parameters and prepare quality variation reports.
- Raise claims for grade disputes and coordinate with suppliers for resolution.
- Maintain updated QC reports and support internal audits
4. Deduction Calculation & Commercial Handling
- Calculate grade slippage deductions (quality shortfall) as per PO norms.
- Prepare landed cost calculations (base price + taxes + premiums + logistics).
- Check penalty/deduction: Excess/short supply, Quality deviations
- Reconcile quantity and quality bills with suppliers and transporters.
- Ensure correct freight, royalty, and statutory charges are applied.
5. Payment Coordination
- Prepare payment requests based on verified bills and approval notes.
- Coordinate with finance department for timely payment release.
- Track advance payments, security deposits, EMD, and bank instruments.
- Ensure all invoices, e-way bills, and supporting documents are accurate.
6. Documentation & Reporting
- Maintain complete records of auction receipts, DOs, invoices, challans, test reports, and weighbridge slips.
- Prepare MIS reports: Auction performance / Cost analysis / Deduction summaries
- Assist in internal and statutory audits.
