Job Summary
We are looking for a detail-oriented and enthusiastic Payroll Intern to join our Finance & Accounts team. The ideal candidate should have a basic understanding of payroll processes and payroll compliance and be eager to gain hands-on experience in payroll administration. This internship offers practical exposure to payroll processing, statutory compliance, employee records, and finance operations.
Responsibilities1. Payroll Processing
- Assist in preparing and processing monthly payroll accurately and within deadlines.
- Verify employee attendance, leave records, overtime, and payroll inputs before processing.
- Support salary calculations, deductions, reimbursements, incentives, and final settlements.
- Assist in generating payroll reports and salary statements.
- Ensure payroll data is maintained accurately in the HRMS/Payroll system.
2. Statutory Compliance
- Support the processing and reconciliation of statutory deductions such as PF, ESI, PT, TDS, SOCSO, PCB, SST, or other applicable statutory requirements.
- Maintain payroll-related compliance records and documentation.
- Assist in preparing reports required for statutory filings and audits.
3. Employee Support
- Respond to employee payroll-related queries regarding salary, deductions, reimbursements, and payslips.
- Assist in issuing salary slips and payroll-related documents.
- Maintain confidentiality of employee payroll information at all times.
4. Payroll Documentation & Record Maintenance
- Maintain accurate payroll records, employee documents, and payroll registers.
- Update employee master data, bank details, salary revisions, and other payroll-related information.
- Ensure all payroll documentation is properly filed and maintained.
5. Finance & Accounts Support
- Assist in payroll reconciliations with bank statements and accounting records.
- Support month-end payroll closing activities.
- Assist the Finance team with payroll-related reports and documentation as required.
- Coordinate with HR and Finance teams to ensure accurate payroll inputs.
6. Additional Responsibilities
- Support other payroll and finance-related tasks assigned by the reporting manager.
- Participate in payroll process improvements and documentation.
- Perform any additional administrative or finance-related duties as required.
7. Daily Updates and Reporting
- Update payroll records and assigned tasks on a daily basis.
- Maintain accurate documentation of payroll activities.
- Report discrepancies, pending approvals, or payroll issues promptly to the reporting manager.
- Submit daily or weekly progress updates as required.
Requirements
- Bachelor's degree in Commerce, Finance, Accounting, or a related field (Final-year students or recent graduates are welcome).
- Basic understanding of payroll processing and payroll compliance.
- Knowledge of MS Excel (VLOOKUP, Pivot Tables, basic formulas) is preferred.
- Good analytical and numerical skills.
- Strong attention to detail and accuracy.
- Ability to maintain confidentiality of payroll information.
- Good communication and organizational skills.
- Willingness to learn and work in a fast-paced environment.
