About the Role
Greenpill Renewable Energy Limited is looking for an experienced and responsible Admin Executive to manage day-to-day administrative operations and ensure smooth functioning of the office. The ideal candidate should have strong administrative, coordination, vendor-management, and team-management skills.
The candidate must be locally based in Gujarat and should be comfortable managing administrative requirements for an organization of approximately 100 employees.
Key Responsibilities
- Manage day-to-day office administration and ensure smooth office operations.
- Coordinate and supervise housekeeping, drivers, support staff, and other administrative teams.
- Manage and monitor housekeeping activities, cleanliness, hygiene, and office maintenance.
- Manage company drivers, vehicle allocation, schedules, attendance, and related records.
- Handle travel management, including hotel bookings, transportation, tickets, and travel coordination for employees.
- Manage office assets, including inventory, allocation, maintenance, records, and periodic verification.
- Maintain proper records of company assets, office equipment, furniture, stationery, and other administrative items.
- Coordinate with vendors, contractors, and service providers and ensure timely delivery of services.
- Handle vendor management, including quotations, negotiations, service coordination, bills, renewals, and performance monitoring.
- Coordinate office maintenance, repairs, electrical/plumbing work, AMC, pest control, security, and other facility-related requirements.
- Draft and maintain administrative documents, including rent/lease agreements, vendor agreements, letters, notices, and other official documents.
- Maintain records related to office premises, rent, utilities, maintenance, and service contracts.
- Coordinate with landlords, property owners, government departments, service providers, and other external parties when required.
- Manage office stationery, consumables, pantry requirements, and other regular administrative purchases.
- Monitor administrative expenses and maintain proper documentation and records.
- Assist in implementing and maintaining company administrative policies and procedures.
- Coordinate office events, meetings, employee requirements, and other administrative activities.
- Ensure compliance with company rules regarding office discipline, facilities, safety, and workplace management.
- Maintain proper documentation and reports related to administrative activities.
- Handle multiple administrative tasks efficiently and ensure timely completion.
- Provide administrative support to management and other departments as required.
Candidate Requirements
- 2–4 years of relevant experience in Administration/Office Management.
- Candidate must be local from Gujarat.
- Experience in managing administrative operations for 100+ employees will be preferred.
- Strong experience in housekeeping team and driver management.
- Good knowledge of travel and transportation management.
- Hands-on experience in office management and facility management.
- Knowledge of asset and inventory management.
- Good understanding of vendor management, quotation comparison, negotiation, and service coordination.
- Ability to draft and understand basic rent/lease agreements and other administrative documents.
- Good communication and interpersonal skills.
- Strong coordination, organizational, and problem-solving abilities.
- Proficiency in MS Office, Excel, Word, and email communication.
- Ability to maintain confidentiality and handle administrative matters responsibly.
- Should be proactive, disciplined, reliable, and capable of working independently.
- Must be flexible to work overtime, weekends, or outside regular working hours whenever required by business needs.
