Job Title: PMO Governance & Operations Specialist ( PMO Analyst )
The PMO Analyst plays a key role within the Project Management Office (PMO), supporting project governance, financial tracking, resource planning, and process compliance. This role partners closely with Project Managers (PMs) and business stakeholders to ensure accurate CAPEX management, adherence to stage gate processes, and effective execution of PMO standards. The position also supports onboarding, system administration, and continuous PMO operations.
Key Responsibilities
PMO Governance & Project Support
- Serve as an active member of the PMO, ensuring adherence to governance frameworks, standards, and best practices
- Act as a stage gate coordinator, ensuring projects meet all required criteria before progressing
- Track and follow up with PMs on action items, deliverables, and stage gate compliance
- Maintain visibility into project progress and escalate risks or delays when necessary
Financial & CAPEX Management
- Partner with Project Managers/Finance partner , the global PMO manager and business stakeholders to manage CAPEX budgets
- Maintain and update actuals in the CAPEX system to ensure financial accuracy
- Assist in budget tracking, forecasting, and variance analysis
- Ensure alignment between project financials and overall portfolio planning
Resource Planning & System Support
- Support resource planning activities within the project management system
- Maintain accurate resource allocations and capacity tracking
- Assist PMs in updating project schedules and resource data
PMO Process & Training
- Lead onboarding and training of new Project Managers on PMO processes, tools, and governance standards
- Provide ongoing guidance to PMs on PMO methodologies and expectations
- Help continuously improve PMO processes, templates, and documentation
- Help supporting the Tisax compliance process
Tools & License Management
- Administer and manage PMO systems and tool licenses
- Ensure appropriate access, usage tracking, and optimization of licenses
- Act as a point of contact for system-related questions and support
- Oversee the project management took (i.e service now) upgrade including testing and validation
Stakeholder Coordination
- Collaborate with PMs, finance teams, and business partners to drive alignment
- Support reporting needs for leadership and PMO reviews
Qualifications
Required:
- Bachelor’s degree in Business, IT, or related field
- Overall 4-5 years of experience with 2 years of experience in Project Management.
- Experience with CAPEX budgeting and financial tracking
- Familiarity with project management tools (e.g., Servicenow, Cora, MS Project, Planview, Jira, etc.)
- Strong organizational, analytical, and communication skills
- Portfolio reporting & dashboards
- KPI tracking and PMO performance metrics
- Process improvement initiatives
Preferred/plus:
- PMP, CAPM, or similar certification
- Experience working in a structured PMO environment
- Knowledge of stage gate or governance frameworks
