Job Description – Stores Executive

Position Summary
The Stores Executive is responsible for the efficient management of inventory, warehouse operations, and material movement to support SynSmart’s research and development activities. The role ensures timely receipt, storage, issuance, and documentation of chemicals, solvents, laboratory consumables, glassware, engineering spares, and packaging materials while maintaining compliance with company procedures, safety standards, and regulatory requirements.
Key Responsibilities
Inventory Management
- Receive incoming materials and verify quantity and quality against Purchase Orders and delivery documents.
- Prepare Goods Receipt Notes (GRN) and update ERP/software on a real-time basis.
- Ensure proper storage, labeling, segregation, and identification of all materials.
- Maintain accurate inventory records with 100% transaction accuracy.
- Monitor minimum, maximum, and reorder stock levels.
Material Issuance
- Issue chemicals, solvents, consumables, and other materials to laboratories and support departments against approved requisitions.
- Maintain complete traceability of all issued materials.
- Ensure FIFO/FEFO inventory practices wherever applicable.
Warehouse Operations
- Maintain an organized, clean, and safe stores environment.
- Handle hazardous chemicals in accordance with EHS guidelines.
- Conduct periodic stock verification and cycle counts.
- Investigate and reconcile inventory discrepancies promptly.
Documentation & Compliance
- Maintain GRNs, stock registers, issue records, inventory reports, and supporting documentation.
- Support internal, customer, and regulatory audits by providing complete and accurate records.
- Ensure compliance with company SOPs, ISO requirements, EHS practices, and applicable regulatory guidelines.
Coordination
- Coordinate with Procurement, R&D, Quality Assurance, EHS, Finance, and Administration for smooth material flow.
- Follow up on pending deliveries and material shortages.
- Assist in inventory planning and warehouse optimization initiatives.
Reporting
- Prepare daily, weekly, and monthly inventory reports.
- Report slow-moving, non-moving, expired, and excess inventory.
- Support management with inventory analysis and continuous improvement initiatives.
Qualifications
- Bachelor’s Degree in Science, Commerce, Supply Chain, or related discipline.
- Diploma/Certification in Materials Management or Inventory Management will be an advantage.
Experience
- 2–5 years of experience in Stores or Warehouse operations.
- Experience in pharmaceutical, CRO, chemical, or manufacturing industries preferred.
Skills
- Inventory management and warehouse operations
- ERP/MRP software proficiency (SAP, Oracle, Tally, Zoho, or equivalent)
- MS Excel and Microsoft Office
- Strong documentation and record-keeping skills
- Knowledge of FIFO/FEFO inventory practices
- Good communication and coordination skills
- Attention to detail and high level of accuracy
- Basic knowledge of laboratory chemicals and safety practices
Key Performance Indicators (KPIs)
- Inventory accuracy ≥99%
- Zero unauthorized stock movements
- Timely GRN completion (within 24 hours of receipt)
- On-time material issuance to laboratories
- Successful audit compliance with minimal observations
- Reduction in inventory discrepancies and stock losses
