We are looking for a proactive, detail-oriented, and organised Export Executive to join our international business team. The ideal candidate should have a minimum of 1 year of experience in export documentation, international order processing, or export coordination, with a strong understanding of export procedures and excellent written communication skills.
This role requires someone who can accurately handle export enquiries, quotations, customer communication, documentation, order execution, and coordination with production and logistics teams to ensure timely and error-free deliveries.

We are looking for candidates based in Delhi NCR, including Delhi, Noida, Ghaziabad, Gurugram (Gurgaon), Faridabad, and nearby locations.
Roles and Responsibilities:
Run E-Square's export operations end to end and accurately read, interpret and respond to customer emails across our export markets - starting in a six-week study capacity to absorb our working style, product range and objectives before taking independent ownership of the desk.
1. Study & Familiarisation (first six weeks)
- Learn the product catalogue - 1,800+ SKUs, categories, materials, applications, and how our products are used in the field.
- Understand our export markets, key clients, and the standards our clients refer to.
- Study past email threads, quotations and completed export files to absorb our house style, tone and turnaround expectations.
- Shadow the current export desk to learn the full order-to-dispatch workflow, internal templates and trackers.
2. Customer Email Handling & Comprehension
- Read every incoming email carefully and identify exactly what is being asked - enquiry, quotation, PO, documentation/compliance request, correction, complaint or follow-up.
- Classify each email by type, market and urgency; flag anything technical or compliance-related for review.
- Draft clear, professional replies in British English that answer the customer's actual question - no vague or partial responses.
- Escalate correctly: know what to answer directly and what to route to technical, sales or production.
3. Quotation & Order Processing
- Prepare accurate proforma invoices and commercial invoices on internal templates.
- Verify product codes, quantities, pricing, Incoterms and payment terms against the customer PO and previously agreed terms.
- Process orders end to end and coordinate with production and dispatch on lead times and readiness.
4. Factory Coordination & Indents
- Prepare indents on internal templates to pass PO details to the factory accurately and in full.
- Confirm the factory has received and understood order requirements, quantities and timelines.
- Track production progress against committed lead times and flag delays early.
5. Packing Lists & Logistics Coordination
- Prepare packing lists carefully - quantities, weights, dimensions, carton counts and markings must reconcile with the order and documents.
- Coordinate closely with logistics partners / freight forwarders / CHA on bookings, shipping and delivery.
- Confirm alignment between the packing list, invoice and shipment before dispatch.
6. Export Documentation
- Prepare and verify Certificate of Conformity (COC), Certificate of Origin (COO) and other market-specific documents.
- Prepare bank/negotiation documents in line with the agreed payment method (LC, advance, TT).
- Confirm every shipment's document set is complete and correct before dispatch.
7. Records, Tracking & Follow-up
- Maintain the customer and order database on internal templates.
- Keep the export tracker current: enquiries, quotations, live orders, shipments, indents and pending documents.
- Follow up proactively on pending payments, documents and confirmations.
- Report weekly on open items to the Technical Director.
Pay: ₹20,000.00 - ₹35,000.00 per month
