Job Description – Despatch Supervisor
Job Summary
The Despatch Supervisor is responsible for overseeing the end-to-end dispatch process, finished goods inventory, manpower deployment, and coordination with the production team to ensure timely dispatch of products. The role involves supervising warehouse and dispatch operations, maintaining accurate documentation, ensuring safety and quality compliance, and optimizing workforce productivity to meet customer delivery schedules.
Roles & Responsibilities
Production Coordination
- Coordinate with the Production Department to ensure finished goods are available as per dispatch schedules.
- Monitor production output against dispatch plans to prevent delivery delays.
- Ensure smooth movement of finished goods from production to the warehouse.
- Communicate production shortages, delays, or quality issues to the Factory Manager.
- Support production planning by providing dispatch status and inventory availability.
Despatch Operations
- Plan, schedule, and supervise daily dispatch activities based on customer orders and delivery commitments.
- Ensure accurate picking, packing, labeling, and dispatch of finished goods.
- Verify invoices, delivery challans, e-Way Bills, transport documents, and customer purchase orders before dispatch.
- Coordinate with transporters to ensure timely vehicle placement and on-time deliveries.
- Monitor loading activities to prevent product damage and ensure proper vehicle utilization.
Inventory & Warehouse Management
- Maintain accurate stock records of finished goods.
- Ensure FIFO/FEFO inventory practices are followed.
- Conduct daily stock reconciliation between production, warehouse, and dispatch.
- Minimize stock variances and report discrepancies immediately.
- Ensure proper storage, handling, and preservation of finished goods.
Manpower Management
- Plan and allocate daily work to dispatch, warehouse, and loading personnel.
- Supervise manpower utilization to achieve maximum productivity.
- Monitor attendance, shift allocation, overtime, and leave planning.
- Train employees on SOPs, safety procedures, and quality standards.
- Evaluate team performance and recommend skill development initiatives.
- Maintain discipline and ensure compliance with company policies and statutory requirements.
- Coordinate contract labor activities and ensure effective utilization of manpower.
Safety & Compliance
- Ensure compliance with company SOPs, GMP (where applicable), and safety regulations.
- Enforce PPE usage and safe material handling practices.
- Maintain audit-ready dispatch records and statutory documents.
- Report accidents, damages, shortages, and non-conformities promptly.
- Ensure good housekeeping standards in the dispatch and warehouse areas.
Reporting & Coordination
- Prepare daily production dispatch reports, vehicle movement reports, manpower reports, and inventory reports.
- Coordinate with Production, Quality, Stores, Sales, Purchase, and Logistics teams for smooth operations.
- Monitor dispatch KPIs and recommend process improvements to increase operational efficiency.
Qualifications
- Diploma in Mechanical, Logistics, Supply Chain Management, Production, or a related discipline.
Experience
- 3–6 years of experience in Dispatch, Warehouse, Production, or Logistics within a manufacturing environment.
- Experience in Bio-Fertilizer, Fertilizer, Chemical, FMCG, or Manufacturing industries will be preferred.
Required Skills
- Knowledge of dispatch operations and warehouse management.
- Understanding of production planning and inventory control.
- Knowledge of GST documentation, invoices, delivery challans, and e-Way Bills.
- Proficiency in MS Office and Excel.
- Strong leadership and manpower management skills.
- Good analytical, planning, and problem-solving abilities.
- Effective communication and coordination skills.
- Ability to work under pressure and meet dispatch deadlines.
