ABOUT THE ROLE
You run monthly payroll and attendance for three separate registered entities: Yashaamm Fashions Pvt Ltd, House of Aleia Pvt Ltd, and Shrimanker & Yogi (S&Y). Each entity has its own payroll cycle, its own attendance data, and its own compliance calendar. This is an execution role: accurate, on time, every month, across all three, without being chased.
This role is separate from office administration, which is handled by our Office Admin & Assistant Executive. You own payroll, attendance and recruitment coordination. She owns office operations. The two roles work alongside each other but do not overlap.
KEY RESPONSIBILITIES
Payroll processing (all three entities)
– Process monthly payroll accurately and on schedule for Yashaamm Fashions, House of Aleia, and S&Y.
– Coordinate salary inputs with each entity's team at the start of every month.
– Generate and distribute monthly payslips to all employees across all three entities.
– Maintain clean, auditable payroll records per entity.
Attendance management
– Track and reconcile attendance for all three entities using Zoho People
– Flag attendance discrepancies before payroll is run, not after.
– Maintain leave records and balances per employee, per entity.
Recruitment coordination
– Post openings on LinkedIn and job portals as directed.
– Screen applications and coordinate interviews with shortlisted candidates.
– Handle onboarding documentation and joining formalities for new hires across the three entities.
Compliance support (execution only)
– Once PF and ESIC registration is complete for an entity (handled separately by the company's CA or compliance consultant), file the monthly PF and ESIC returns for that entity on schedule.
– Maintain statutory filing records and renewal dates in a shared tracker.
– Flag any upcoming statutory deadline to the Director at least 15 days in advance.
HR strategy and performance system: support and administration
– Work with the Director to build and maintain the KRA and KPI framework for each role: document the targets the Director sets, keep the master tracker current.
– Pull the performance numbers each month from existing systems (Zoho People, Unicommerce, Tally, MIS reports) into a clean summary ahead of the Director's monthly review, so the review is a decision meeting, not a data-gathering exercise.
– Maintain the KRA/KPI dashboard and flag any number that has fallen outside its target before the monthly review, not during it.
– Draft HR policy documents from content and direction given by the Director; maintain the policy library and version history.
– Support manpower planning by maintaining a live headcount and open-role tracker (current team, open positions, time-to-fill) for the Director's review.
– Coordinate policy rollout and acknowledgement once a policy is finalised by the Director: circulation, employee sign-off, record-keeping.
MUST HAVE
– 1 to 2 years of hands-on experience specifically in payroll processing or HR operations.
– Comfortable with Google Sheets / Excel and HR / payroll software (Zoho People experience is a strong plus).
– Demonstrated ability to run recurring monthly tasks independently, on schedule, without being chased.
– High discretion and reliability: this role handles confidential salary data across three separate entities.
– Clear written and spoken communication in English.
– Comfortable managing parallel calendars and deadlines across multiple entities without mixing them up.
NICE TO HAVE
– Prior experience running payroll for more than one entity or business unit.
– Basic familiarity with PF, ESIC, and professional tax filing mechanics.
– Experience in a small or growing company where the role spanned multiple functions.
