About the Role
BrainCert is looking for a proactive and dependable HR Executive / HR Generalist to manage day-to-day HR activities for our India office. This role is best suited for an HR professional who can independently support recruitment, onboarding, employee documentation, HRMS administration, attendance, payroll inputs, employee engagement and general HR operations in a fast-moving technology company.
The ideal candidate is organized, approachable and comfortable working across multiple responsibilities. Strong technical recruitment capability and hands-on ownership are more important than senior-level HR management experience.
Key Responsibilities
Talent Acquisition & Recruitment
- Manage the complete recruitment lifecycle for technical and non-technical roles, from job posting and sourcing through offer rollout and onboarding.
- Source candidates through LinkedIn, Naukri, Indeed, referrals, campus drives and other relevant channels.
- Conduct initial screening calls, evaluate candidate fit and coordinate interviews with hiring managers and leadership.
- Support hiring for roles such as software developers, QA engineers, DevOps, AI/data professionals, customer support and business operations.
- Maintain an organized candidate pipeline, recruitment tracker and hiring status reports.
- Prepare offer letters, coordinate salary discussions and ensure timely candidate follow-up and joining.
HR Operations & Employee Lifecycle
- Manage onboarding and offboarding, including documentation, orientation, system access coordination and exit formalities.
- Prepare and maintain HR documents such as offer letters, appointment letters, NDAs, confirmation letters, appraisal letters, experience letters and relieving letters.
- Maintain accurate employee records in the HRMS and ensure confidential data is handled responsibly.
- Manage attendance, leave records, probation confirmations, employee changes and other lifecycle updates.
- Respond to employee questions and coordinate the resolution of routine HR concerns and grievances.
- Maintain and improve HR checklists, templates, SOPs and internal processes.
Payroll & Compliance Coordination
- Collect and verify monthly payroll inputs, including attendance, leave, new joiners, exits, salary changes, incentives and deductions.
- Coordinate with the Finance team, payroll provider or statutory consultant to support accurate and timely salary processing.
- Assist with employee PF, ESIC, Professional Tax, Full & Final settlement and related compliance documentation.
- Maintain payroll and compliance records in an organized and audit-ready manner.
- Respond to employee payroll questions and coordinate corrections when necessary.
Employee Engagement & Office Support
- Coordinate employee engagement activities, team events, celebrations and recognition initiatives.
- Support performance review and appraisal coordination, including communication and documentation.
- Work closely with employees and managers to promote a positive, respectful and productive workplace.
- Provide general HR and administrative support for the India office when required.
Qualifications & Experience
- Bachelor's or Master's degree in Human Resources, Business Administration, Commerce, Social Work or a related field.
- Approximately 2-4 years of hands-on experience in HR recruitment and operations; strong candidates with slightly less experience may also be considered.
- Experience recruiting for software, technology or startup roles is strongly preferred.
- Practical experience with an HRMS such as Zoho People, Keka, GreytHR or a similar platform.
- Working knowledge of attendance, payroll inputs, onboarding, employee documentation and basic statutory compliance.
- Good working knowledge of Microsoft Excel, Word, Google Sheets and general office productivity tools.
- Strong written and verbal communication skills in English; Tamil communication skills are beneficial for local employee coordination.
What We Are Looking For
- A hands-on HR professional who takes ownership and can work independently with limited supervision.
- Strong organizational skills, attention to detail and consistent follow-through.
- A practical, solution-oriented approach rather than a purely policy-driven mindset.
- Confidence in speaking with candidates, employees, managers and external service providers.
- High integrity and discretion when handling confidential employee and company information.
- Comfort working in a growing technology company where priorities may change quickly.
- A positive and approachable personality with a genuine interest in employee experience.
Success in This Role
The successful candidate will be able to:
- Fill open positions efficiently while maintaining candidate quality and a professional candidate experience.
- Keep HR records, employee documents and HRMS information accurate and up to date.
- Ensure smooth onboarding, payroll coordination and employee support without requiring constant management follow-up.
- Build dependable HR processes that can scale as BrainCert grows.
