About the Role
Healing Harmony is seeking a proactive and organized Operations & Admin Executive to ensure smooth day-to-day clinic operations, patient coordination, inventory management, and administrative support. The ideal candidate should be detail-oriented, customer-focused, and capable of handling multiple responsibilities efficiently.
Key ResponsibilitiesFront Desk & Patient Coordination
- Schedule patient appointments and manage doctors' calendars.
- Attend incoming calls and respond to patient inquiries professionally.
- Coordinate patient follow-ups and appointment reminders.
- Ensure a smooth patient experience from appointment booking to consultation.
Administrative Operations
- Maintain clinic records, documents, and operational reports.
- Draft professional emails and correspondence.
- Coordinate with vendors and service providers as required.
Inventory & Facility Management
- Manage inventory of medicines, clinic supplies, housekeeping materials, and consumables.
- Monitor stock levels and coordinate timely replenishment.
- Ensure proper housekeeping and upkeep of clinic premises.
Accounts & Financial Coordination
- Generate invoices, bills, and receipts using accounting software.
- Maintain billing records and payment tracking.
- Coordinate with Chartered Accountants for accounting and financial documentation.
- Assist in basic administrative finance-related tasks.
Operational Support
- Support doctors and clinic staff in day-to-day administrative requirements.
- Ensure smooth coordination between patients, doctors, vendors, and external stakeholders.
- Maintain operational efficiency and adherence to clinic processes.
Required Skills
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Proficiency in MS Office (Word, Excel, PowerPoint).
- Tech-savvy with the ability to learn clinic and accounting software.
- Professional email drafting skills.
- Customer service orientation and problem-solving mindset.
- Attention to detail and ability to maintain records accurately.
Preferred Qualifications
- Graduate in any discipline.
- Experience in administration, operations, front office, healthcare, or customer service roles.
- Familiarity with accounting or billing software will be an advantage.
Pay: ₹15,000.00 - ₹25,000.00 per month
