Job Summary
We are seeking a highly organised and proactive Appointment Setter & Administrative Assistant to support our sales and operations teams. The ideal candidate will be responsible for scheduling appointments, managing communications, maintaining records, and providing administrative support to ensure smooth day-to-day operations.
Key Responsibilities
Appointment Setting
- Contact prospective clients via phone, email, social media, and other communication channels.
- Qualify leads and schedule appointments for the sales team.
- Follow up with prospects to confirm appointments and reduce no-shows.
- Maintain and update customer information in the CRM system.
- Coordinate calendars and manage scheduling conflicts.
- Track appointment metrics and provide regular reports.
Administrative Support
- Manage emails, correspondence and general inquiries.
- Maintain accurate records, databases, and filing systems.
- Prepare reports, documents, and presentations as needed.
- Assist with data entry and document management.
- Coordinate meetings and internal communications.
- Support office operations and administrative projects.
Qualifications
- Previous experience in appointment setting, customer service, sales support, or administration preferred.
- Excellent English verbal and written communication skills.
- Strong organisational and time-management abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace.
- Experience with ZOHO CRM software is an advantage.
- Ability to multitask and work independently.
