Job Summary
We are looking for an experienced and responsible Purchase Executive to manage procurement activities related to HVAC materials, spare parts, and project requirements. The candidate should have good knowledge of HVAC products, vendor coordination, quotation handling, purchase processes, and inventory planning while ensuring cost-effective and timely procurement operations.
Key ResponsibilitiesPurchase & Procurement Management
- Handle day-to-day HVAC purchase and procurement activities
- Source HVAC materials, spare parts, tools, and equipment from vendors
- Collect and compare quotations from multiple suppliers
- Prepare purchase orders and maintain procurement documentation
- Ensure timely material availability for project and service requirements
Vendor Coordination & Negotiation
- Coordinate with vendors, suppliers, and manufacturers for pricing and delivery schedules
- Maintain strong vendor relationships for smooth procurement operations
- Negotiate pricing, delivery timelines, and payment terms with suppliers
- Follow up with vendors regarding pending orders and material dispatch
Inventory & Material Planning
- Coordinate with store and project teams for material requirements
- Monitor stock levels and support inventory planning activities
- Ensure proper material tracking and delivery coordination
- Support urgent and emergency material arrangements for project execution
Reporting & Documentation
- Maintain purchase records, quotations, invoices, and vendor databases
- Prepare MIS reports and procurement reports using MS Excel
- Maintain accurate documentation for audit and reporting purposes
- Coordinate with accounts and management regarding purchase-related documentation
Required Skills
- Good knowledge of HVAC spare parts and materials
- Strong vendor coordination and negotiation skills
- Knowledge of purchase procedures and procurement processes
- Good MS Excel and computer knowledge
- Ability to prepare reports and maintain documentation
- Strong communication and coordination abilities
- Problem-solving and multitasking capability
Preferred Candidate Profile
- Candidates with HVAC industry procurement experience preferred
- Knowledge of AC brands like Daikin, Voltas, Blue Star, Hitachi, etc. preferred
- Experience in handling project-based procurement activities preferred
- Candidates familiar with ERP/SAP systems will be preferred
- Ability to work under pressure and manage multiple requirements efficiently
