Job Summary
We are looking for a proactive, highly organized, and execution-focused Executive Assistant to support the Chief Operating Officer (COO). This is an operations-oriented role requiring strong coordination, follow-up, and execution skills. The ideal candidate will work closely with senior leadership, coordinate with cross-functional teams, monitor key business activities, and ensure timely completion of organizational priorities.
Key Responsibilities
Provide comprehensive administrative and operational support to the COO.
Coordinate with Production, Maintenance, Quality, HR, Finance, Purchase, Stores, Dispatch, and other departments for seamless execution of operational activities.
Track action items, monitor deadlines, and follow up with department heads to ensure timely completion.
Prepare MIS reports, dashboards, presentations, and operational summaries for management review.
Manage the COO's calendar, meetings, appointments, travel arrangements, and correspondence.
Prepare Minutes of Meetings (MOM) and monitor implementation of action points.
Analyze operational data and prepare reports to support business decisions.
Coordinate internal review meetings, audits, and cross-functional projects.
Maintain confidential records, reports, and business documents.
Support process improvement initiatives and special projects assigned by the COO.
Ensure effective communication between senior management and various departments.
Monitor key operational KPIs and escalate delays or bottlenecks when required.
Qualification
Bachelor's degree in Business Administration, Commerce, Engineering, or a related field.
MBA will be an added advantage.
Experience
2–5 years of experience as an Executive Assistant, Operations Coordinator, Management Trainee, or a similar role.
Experience in a manufacturing environment will be preferred.
Required Skills
Excellent coordination and follow-up skills.
Strong communication and interpersonal abilities.
Advanced knowledge of MS Excel, PowerPoint, and MS Office.
Ability to prepare MIS reports and management presentations.
Strong analytical and problem-solving skills.
High level of confidentiality and professionalism.
Excellent organizational and time-management abilities.
Ability to handle multiple priorities in a fast-paced work environment.
