Roles & Responsibilities
A. Manufacturing Unit Administration (Primary Focus)
- Manage all day-to-day administrative operations of the manufacturing unit, ensuring smooth and uninterrupted plant functioning.
- Oversee upkeep of the factory premises, including building, machinery surroundings, common areas and shop floor cleanliness.
- Maintain and monitor ground maintenance activities open yard areas, drainage, pathways and external premises upkeep.
- Supervise housekeeping staff and schedules to ensure the unit is clean, hygienic and audit-ready at all times.
- Manage water supply for the unit, including monitoring tanks/borewell/municipal supply, coordinating tanker refills, and ensuring uninterrupted availability for production and staff use.
- Coordinate procurement of consumables, tools, factory supplies and housekeeping/maintenance materials with the production team.
- Maintain statutory registers, licenses and compliance documentation (factory license, fire/safety, pollution control, etc.).
- Ensure health, safety and housekeeping standards are followed on the shop floor at all times.
B. Staff & Manpower Management
- Supervise housekeeping, security and contract manpower deployed at the unit; manage attendance, shift schedules and daily task allocation.
- Coordinate contractor and manpower documentation, verification and compliance (ID proofs, PF/ESIC-related paperwork support, etc.).
- Liaise with the production team on manpower requirements and day-to-day workforce coordination.
- Address staff welfare needs canteen/pantry, drinking water, restrooms, safety equipment — and resolve day-to-day facility grievances.
C. Vendor & Facility Maintenance
- Manage end-to-end vendor coordination for housekeeping, security, pest control, gardening, water tanker, AMC and repair/maintenance services.
- Track and follow up on all vendor activities to ensure timely servicing, upkeep and closure of maintenance requests.
- Handle inward/outward material documentation, gate entries and logistics coordination for the unit.
- Maintain vendor records, service schedules (AMCs, equipment servicing, pest control, etc.) and ensure timely renewals.
- Obtain quotations, place purchase/work orders and track vendor bills/payments in coordination with finance.
D. Corporate Office Support
- Organize administrative and logistical aspects of office activities/events, including workshops and meetings.
- Create, update and maintain records/databases; oversee general office facilities and equipment upkeep.
- Keep stock of office/pantry supplies and place orders when necessary.
- Handle additional finance, HR-support and communication tasks as requested by management.
- Provide basic first-line coordination for IT-related needs (asset handovers, vendor call logging), escalating technical issues to the IT team/vendor as needed. Candidate Skill Set
- Proven experience as a Manufacturing/Facility Administrator, Admin Executive or similar, with strong exposure to factory-floor operations.
- Hands-on experience managing housekeeping, ground/facility maintenance, water supply and utility management.
- Strong vendor management skills sourcing, negotiation, follow-up and service quality monitoring.
- Experience supervising contract staff/manpower, attendance and daily task allocation.
- Excellent interpersonal, diplomacy and persuasion skills; strong written and verbal communication.
- Ability to multitask and prioritize across two locations; good MS Excel/Word skills; adaptable under pressure.
- Willingness to travel/commute between the corporate office and manufacturing unit as required.
- Basic understanding of IT/office equipment is a plus, but not a core requirement of this role. Experience
