Job Summary:
Responsible for coordinating end-to-end shipment operations, including booking management, transporter coordination, shipment tracking, system updates, documentation, milestone management, vendor coordination, KPI monitoring, and ensuring timely execution and compliance with customer and operational requirements.
Essential Job Functions:
- Prepare the SAT sheet based on DBS/SharePoint reports twice daily.
- Coordinate daily with internal and external stakeholders, including transporters and labor vendors, to ensure smooth shipment execution.
- Proactively identify and resolve operational challenges and manage critical shipment issues effectively.
- Receive, confirm, and acknowledge customer bookings within 2 hours of receipt.
- Create TMF and GPS jobs at least 48 hours prior to the scheduled pick-up date.
- Share the pick-up schedule with transporters, collect crew and vehicle details, and submit the information to the customer through Smartsheet along with the GPS tracking ID.
- Follow up for E-Way Bill Part A and Part B and update and submit H x H details on the day of pick-up.
- Upload the Proof of Delivery (POD), truck seal number, recovered quantity, and delivery details to Smartsheet on the same day as the shipment delivery.
- Update the GPS Shipment Tracking Smartsheet on the day of delivery to ensure accurate shipment visibility.
- Complete all shipment-related entries in TMF, including job creation, cost accruals, revenue accruals, and other required operational details.
- Post the TMF pre-alert on the same day as shipment execution.
- Track all operational tools and devices, verify inventory after each pick-up, and maintain accurate inventory records.
- Update shipment milestones promptly, upload all required shipment documents, and send pre-alerts to the respective stations.
- Validate and approve vendor invoices, resolve invoice-related queries, and ensure timely payment processing.
- Monitor daily KPIs, review shipment files/jobs, and lock completed jobs in TMF to support monthly financial closing.
- Perform additional duties and responsibilities as assigned from time to time to meet evolving business requirements.
Required Qualifications
- Bachelor's Degree in Commerce (B.Com) or equivalent.
Required Skills
- Good knowledge of Microsoft Office.
- Advanced Microsoft Excel skills.
- Good written and verbal communication skills.
- Strong analytical and problem-solving abilities.
- Ability to work under deadlines and manage priorities.
- Good attention to detail and accuracy.
Preferred Experience
- 2-5 years of experience in Documentation.
