*Job Profile: Executive Assistant to the Managing Director**
**Position Overview:**
The Executive Assistant will play a crucial role in supporting the Managing Director (MD) by efficiently managing their schedule, coordinating with various stakeholders, and handling a wide range of administrative and organizational tasks. The ideal candidate will be highly organized, detail-oriented, and capable of handling confidential information with discretion. This role requires proficiency in using Google Sheets for tracking and organizing tasks and data, as well as excellent communication skills for maintaining positive relationships with internal and external stakeholders.
**Key Responsibilities:**
1. **Schedule Management:**
- Efficiently manage the MD’s calendar, including scheduling appointments, meetings, and travel plans.
- Utilize Google Sheets to track and update the MD’s schedule and ensure timely coordination with all parties involved.
2. **Stakeholder Coordination:**
- Serve as the primary point of contact between the MD and internal/external stakeholders.
- Maintain positive relationships with clients, staff, and suppliers, ensuring effective communication and collaboration.
3. **Confidential Information Handling:**
- Manage and protect sensitive information with utmost discretion.
- Prepare and organize confidential reports, presentations, and documentation as required.
4. **Task Management:**
- Oversee and track tasks related to Key Result Areas (KRA), Key Performance Indicators (KPI), and Minutes of Meetings (MOM) follow-ups using Google Sheets.
- Ensure all follow-up actions are completed in a timely manner.
5. **Travel Logistics:**
- Organize domestic and international travel arrangements, including flights, accommodations, and itineraries.
- Coordinate with travel agencies and vendors to ensure seamless travel experiences.
6. **Project Support:**
- Assist with project research and data compilation, providing the MD with accurate and timely information.
- Collaborate with project teams to ensure alignment and progress tracking.
7. **Event Organization:**
- Plan and execute company events, ensuring all logistical aspects are covered.
- Coordinate with vendors, venues, and internal teams to ensure successful event outcomes.
8. **Communication Management:**
- Manage communication on behalf of the MD, including drafting emails, letters, and other correspondence.
- Prepare meeting agendas, take minutes, and distribute them to relevant parties.
9. **Problem-Solving:**
- Address day-to-day challenges with a proactive and solution-oriented approach.
- Collaborate effectively with staff to resolve issues and improve processes.
**Qualifications:**
- Bachelor’s degree in Business Administration, Management, or a related field.
- Proven experience as an Executive Assistant or in a similar role.
- Proficiency in Google Sheets and other Google Workspace tools.
- Exceptional organizational and time-management skills.
- Strong written and verbal communication skills.
- Ability to handle confidential information with discretion.
- Excellent interpersonal skills and the ability to build positive relationships.
- Flexibility to adapt to changing priorities and work under pressure.
- Experience in event planning and travel logistics is a plus.
Pay: ₹15,000.00 - ₹25,000.00 per month
