The Pharmacy & Billing Executive is responsible for ensuring accurate dispensing support, inventory management, patient billing, payment collection, and seamless coordination between the pharmacy, doctors, front office, and accounts department. The role is critical in delivering excellent patient service while maintaining billing accuracy, inventory control, and compliance with hospital policies.
Key Responsibilities1. Pharmacy Operations
- Dispense medicines strictly against valid prescriptions under the supervision of the pharmacist.
- Verify medicine name, dosage, quantity, batch number, and expiry date before issuing medicines.
- Maintain proper storage conditions as per manufacturer guidelines.
- Monitor stock levels and raise purchase indents before stocks reach minimum levels.
- Perform daily stock verification and periodic physical inventory.
- Track near-expiry and expired medicines and coordinate timely returns or disposal.
- Ensure all medicines are properly labeled and arranged.
- Maintain cleanliness and organization of the pharmacy.
2. Billing Operations
- Generate accurate OP and IP bills through the Hospital Management System (Clinicio).
- Bill consultations, procedures, investigations, pharmacy items, consumables, and packages without omissions.
- Verify doctor prescriptions before pharmacy billing.
- Collect payments through cash, card, UPI, or other approved payment methods.
- Issue receipts and maintain accurate transaction records.
- Process refunds, cancellations, and billing corrections after obtaining required approvals.
- Close daily billing and reconcile collections with accounts.
- Maintain billing reports and documentation for audits.
3. Inventory Management
- Maintain accurate stock entries in the Hospital Management System.
- Update inward and outward stock movements promptly.
- Conduct daily reconciliation between physical and system stock.
- Report discrepancies immediately to the Operations Manager.
- Coordinate with vendors for medicine deliveries and documentation.
4. Patient Service
- Explain medicine usage, dosage instructions, and billing details professionally.
- Handle patient billing queries courteously.
- Coordinate with doctors and nursing staff for prescription clarifications.
- Ensure quick turnaround time during billing and medicine dispensing.
5. Documentation & Compliance
- Maintain pharmacy registers and billing records accurately.
- Ensure compliance with hospital SOPs and applicable pharmacy regulations.
- Maintain confidentiality of patient information.
- Assist during internal and external audits.
- Report medication or billing discrepancies immediately to management.
6. Coordination
- Work closely with doctors, nursing staff, reception, laboratory, and accounts.
- Ensure all services rendered are accurately captured in patient bills.
- Support smooth patient discharge by ensuring complete billing.
Required Skills
- Knowledge of pharmacy operations and medical terminology.
- Proficiency in Hospital Management Software (Clinicio preferred).
- Strong billing and cash-handling skills.

- Excellent communication and customer service skills.

Qualifications
- Diploma/Bachelor's Degree in Pharmacy (D.Pharm/B.Pharm) or a Graduate with relevant hospital pharmacy and billing experience.
- 1–3 years of experience in hospital pharmacy, medical billing, or healthcare administration preferred.
- Computer proficiency and experience with Hospital Information Systems (HIS).
Pay: ₹8,251.18 - ₹24,000.00 per month
