Job Title: Office Administrator / Admin Executive (Facilities & Office Operations)
Job Overview The Office Administrator / Admin Executive will be responsible for ensuring smooth day-to-day office operations, maintaining office facilities, managing supplies, coordinating vendor services, and supporting general administrative activities. The role requires strong attention to detail, proactive problem-solving, and the ability to ensure a clean, efficient, and well-functioning workplace.
Key Responsibilities
1. Pantry & Office Supplies Management Monitor pantry stock daily (tea, coffee, sugar, milk, water, snacks, disposable items, etc.) Ensure timely replenishment of pantry items to avoid shortages Maintain inventory of office stationery and consumables Ensure first-aid/medical kit is always fully stocked and updated
2. Washroom & Hygiene Maintenance Ensure washrooms are clean, hygienic, and well-maintained at all times Check availability of hygiene essentials such as tissues, handwash, and air fresheners Coordinate with housekeeping staff or vendors for regular cleaning and upkeep
3. Office Equipment & Utility Management Monitor proper functioning of office equipment including: Air Conditioners (ACs) Internet/Wi-Fi systems Coffee/vending machines Biometric attendance systems Printers, scanners, and other office machines Electrical systems including lights and power points Coordinate with vendors for repair, servicing, and maintenance as required Ensure all office utilities remain fully operational
4. General Office Supervision Maintain overall office discipline, cleanliness, and orderliness Supervise daily opening and closing of office operations Ensure smooth functioning of all office facilities and systems Support management in maintaining a productive work environment
5. Travel, Courier & Coordination Support Assist in travel arrangements including bookings, transport, and scheduling Handle courier, dispatch, mail, and document movement activities Coordinate with vendors, service providers, and external partners Support miscellaneous administrative and operational tasks as assigned
6. Maintenance & Issue Resolution Identify operational or maintenance issues proactively Follow up with vendors and service providers for timely resolution Ensure all administrative issues are addressed promptly Escalate critical issues to management when necessary
7. Reporting & Compliance Maintain daily checklist/report of completed tasks and activities Report any breakdowns, shortages, or operational issues immediately Ensure continuous smooth functioning of office operations
8. Asset & Equipment Management Maintain updated records of all office assets and allocations Track issuance and return of equipment and devices Monitor condition, usage, and availability of assets Coordinate repair, replacement, or recovery of assets when needed Ensure proper asset handover during employee joining and exit processes Key Skills Required Strong organizational and multitasking abilities Attention to detail and proactive attitude Basic vendor and facility management skills Good communication and coordination skills Ability to handle multiple responsibilities independently
Pay: ₹10,000.00 - ₹20,000.00 per month
