Job Summary:
The Office Assistant is responsible for providing administrative and clerical support to ensure the efficient operation of the office. The ideal candidate is organized, detail-oriented, and capable of handling multiple tasks in a fast-paced environment.
Key Responsibilities:
- Handle incoming and outgoing calls, emails, and correspondence.
- Assist in filing, scanning, photocopying, and maintaining office records.
- Manage office needs and ensure material availability.
- Support the team with scheduling meetings, appointments, and travel arrangements.
- Perform basic data entry and document preparation tasks.
- Ensure cleanliness and orderliness of the office.
- Manage calendars, schedule meetings, and coordinate appointments.
- Maintain confidential files and handle sensitive documents.
- Liaise with internal departments and external stakeholders.
- Arrange travel and accommodation for executives.
- Ensure timely reminders for follow-ups and important tasks.
Requirements:
- Proficiency in MS Office, (Word, Excel, PPT, Outlook), Google, ChatGPT.
- Good communication and interpersonal skills.
- Ability to multitask and prioritize work.
- Strong organizational and time-management skills.
- Excellent verbal and written communication.
