We are seeking a highly organized, professional, and proactive Personal Secretary to provide comprehensive administrative and secretarial support to the Director. The candidate will be responsible for managing schedules, coordinating meetings, handling confidential information, preparing reports, and ensuring smooth day-to-day operations of the Director's office.
Key Responsibilities
- Manage the Director's calendar, appointments, meetings, and travel schedules.
- Coordinate internal and external meetings, conferences, and business events.
- Screen and prioritize phone calls, emails, and correspondence.
- Draft, review, and prepare letters, presentations, reports, and official documents.
- Maintain confidential records and sensitive information with utmost discretion.
Communication & Coordination
- Act as a liaison between the Director and internal departments, clients, vendors, and stakeholders.
- Follow up on action items assigned by the Director.
- Coordinate with various departments to ensure timely execution of tasks.
- Handle professional communication on behalf of the Director when required.
Documentation & Record Management
- Maintain organized filing systems for physical and electronic documents.
- Prepare meeting agendas, minutes of meetings (MOM), and track action points.
- Manage contracts, agreements, and other important documents.
Travel & Event Management
- Arrange domestic and international travel, accommodation, and itineraries.
- Coordinate business visits, conferences, and corporate events.
- Ensure all travel-related documents are prepared and available.
Administrative Responsibilities
- Monitor office supplies and administrative requirements of the Director's office.
- Prepare expense reports and maintain records of expenditures.
- Assist in special projects and assignments as directed.
Required Qualifications
- Bachelor's Degree in Business Administration, Commerce, Management, or related field.
- Additional certification in Secretarial Practice or Office Administration will be preferred.
Experience
- 3–8 years of experience as Personal Secretary, Executive Assistant, or Executive Secretary to senior management.
- Experience working directly with Directors, CEOs, or senior executives is preferred.

Pay: ₹25,000.00 - ₹37,000.00 per month
